Introduction

Come work in a "hospital without walls" and get a wealth of experience in a supportive, multidisciplinary, and skilled team environment. You will be able to develop your administrative skills in a unique setting while working with a team that provides services to adults in the community. These clients are diagnosed with serious mental illness (e.g., Schizophrenia) or co-occurring serious mental illness and substance use disorder (e.g., Schizophrenia and Alcohol Dependence). Assertive Community Treatment (ACT) services are primarily provided outside the office, in the community or in the client's home and are geared towards identified goals and reducing frequent hospitalizations. This position is critical because while the team works in the community, the administrative support staff is in the office, coordinating visits, answering telephones, and communicating key information to staff in real time. We are seeking qualified applicants to fill our full-time Administrative Support position. Successful candidates have been referred to as "the glue" of the team, having the "pulse" of the team, and the "hub of the wheel" of our operation. About This Role:

Provide administrative support to 7-10 ACT team members (clinical and medical staff), with a client census of 50-75

Manage ACT program office; answer phones; meet clients

Schedule ACT psychiatric appointments

Order ACT program supplies

Track daily client contacts for weekly client contact calendar

Maintain ACT monthly staff schedule and track changes to ensure adequate coverage.

Maintain on-call weekend schedule and notify ES of any changes.

Maintain ACT program white boards (monthly schedule, psychiatric schedule, upcoming client meetings)

Orient new staff:

  • Credible

Maintain ACT program Food Closet

And other duties as assigned by ACT supervisors

Minimum Requirements:

High school diploma or GED and 2 years of related administrative support experience

Preferences:

  • Any combination of education and experience equivalent to an Associates Degree in business administration, public administration, accounting or related
  • 3-5 years clerical/administrative support
  • Experience working with ACT teams and/or working with SMI/Co-occurring populations in an administrative support role
  • Proficient Experience with Microsoft Office, including Word, Excel, Outlook, and PowerPoint
  • Experience with Video Teleconferencing to include platforms such as Zoom, Webex, and Skype for Business
  • Bilingual preferred but not required

Special Requirements:

Must pass TB test;

Offer of employment is contingent upon the candidate passing a fingerprint-based National Criminal History Record Check

Child Protective Services Requirements: Effective 1999, mandated by the Department of Behavioral Health and Developmental Services 12VA35-105-400 rules and Regulations for Licensing Providers by the Department of Behavioral Health and Development Services related to Criminal Registry Checks, a search of the registry of founded complaints of child abuse and neglected maintained by the Department of Social Services.

Work Schedule:

Monday- Friday 8:00 am-4:00 pm or 8:30 am- 4:30 pm

Starting Salary Range:

$25.44-$36.98
