Qualifications: Education/Certi fication: •High school diploma /equivalent or higher Special Knowledge/Skills: •Possess word processing proficiency and computer skills to formulate gra phs, charts, and otherdistrict reports .•Ability to develop correspondence and organize information pertinent to the smooth operation of theschool district.•Demonstrate ability to effectively communicate with district employees and general public.Experience: •A minimum of five (5) years of secretarial experienceMajor Responsibilities and Duties: 1.Takes and transcribes dictation of various types, including meetings, correspondence, reports, notices, a ndrecommendations.2.Performs secretarial duties to include, but not limited to correspondence, filing, typing, opening and distributingmail and screening telephone calls for redirection.3.Possesses the knowledge and expertise of the specific program(s) in order to facilitate budget preparation,appointm ents, amendments and personnel considerations and is able to provide technical information in theabsence of the CTE Director.4. Maintains bookkeeping records for the programs under the direction of the CTE Director.5.Gathers information necessary for submission of bids by the Finance Department for capital outlay item spurchased for use by campus personnel and support staff.6. Coordinates , processes trip requests, and arranges CTSO travel for the CTE Director, the department staff, a ndCTE teachers.7.Assists district CTE teachers secure bus es and vans for CTE teacher-student internships, and field/college trips.8.Works with the CTE staff to assist with the House Bill 5 tours when needed.9. Works with CTE staff with setting up and taking down of the Career Awareness Showcase and th eCollege/ Career, and Job Expo.10.Arranges priority calendar for the CTE Director .11.Maintains a professional level of confidentiality in office regarding personnel matters.12. Maintains an inventory of the CTE D irector's office.13. Assists in the gathering, analyzing and complying of data needed for annual program evaluation reports. Administrative Specialist I -CTE ADOPTED: 2 -6-90 AMENDED: 10-5-16, 10-23-17, 10-01-18, 09-25-19 14.Greets all visitors courteously, determines their needs, checks appointments and directs them to the properperson.15.Coordinates activities of clerical personnel assigned to the CTE Director.16.Prepares and distributes materials relative to the programs under the direction of the CTE Director.17.Assist in coordinating staff development for district personnel and maintains records of attendance.18.Possesses the ability to work with multiple directors and various programs simultaneously.19.Completes tasks in a manner that facilitates the program implementation on a district wide level.20.Possesses the ability to diffuse adversarial situations with district staff or parents after the complaints have beenforwarded to the central office.21. Upholds and adheres to safety rules and policies of SISD safety program.22. Supports the goals and objectives of the school district and follows all district policies.23.Demonstrates the ability to attend work on a regular and routine basis to avoid disruption to district operations.24. Performs any other duties as assigned by the appropriate supervisor.25.Provides optimal customer service to all students, employees, parents, community mem bers and any otherstakeholders of the district.
