Job Summary
The Administrative Specialist will collaborate with various department and project teams to complete administrative tasks related to construction projects. This person should be motivated, possess exceptional written and verbal communication skills, and be proficient in various software systems such as MS Word, Teams, Excel, Share Point, and others.
- Assist the Director of Human Resources in all phases of the hiring process, including candidate communication, onboarding coordination, and documentation management
- Maintain and update HR-related data in Excel spreadsheets and internal databases with a high degree of accuracy and confidentiality
- Ensure 100% compliance with documentation protocols through accurate minute transcription and timely distribution
- Ability to drive organizational efficiency through expert calendar management, travel coordination, event management, and cross- functional collaboration
- Submit and track employee and temporary staff access requests using Microsoft Outlook, Excel, Word, and Adobe Pro
- Receive and process purchase orders within the ERP system (JAMIS), ensuring alignment with HR and departmental needs
- Provide administrative support to Payroll by managing and verifying employee and temporary staff time record
- Created and maintained over 200 physical and digital files, securing 100% regulatory compliance for employee records, SOPs, and product batch documentation in accordance with audit standards; Enhanced administrative recordkeeping systems, improving access and regulatory compliance by 40% through process refinement and digital file optimization
Skills Required
- 5+ years of experience supporting senior leaders across operations, logistics, and multiple departments; Recognized for discretion, attention to detail, and a people-first approach in fast-paced, high-growth environments
- Proficient in Microsoft Office products including Word, Excel, Outlook, Teams.
- Experience and ability to navigate and adapt to various outside online platforms to access client documents and information.
- Must possess a professional demeanor and positive attitude.
- Deadline-driven with a sense of urgency.
- Strong professional interpersonal, written, and verbal communication skills.
- Able to take direction and provide timely feedback on progress of tasks.
- Exceptional attention to detail, organization and active listening skills.
- Ability to manage multiple tasks.

Education/Training/Certifications
- High School Degree or GED
Pay Rate/Salary
- Pay Rate $22-$25/ hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
