Job Title Administrative Services Manager Posting Number S1696P Pay Range

Compensation for this position is expected to range between $85,000.00 and $95,000.00 per year, in alignment with what California Baptist University (CBU) reasonably anticipates paying for this role. The final rate may vary depending on the candidate's qualifications, experience, and prevailing market conditions. Position Summary Information

Summary

Under general supervision, provides administrative, project, and executive support to the Office of the Provost and Senior Vice President for Academic Affairs. May provide specialist services in the areas of public and community relations, faculty affairs, general business administration, and/or student affairs, depending upon the functional area supported.

Essential Duties and Responsibilities

include the following. Other duties may be assigned.

  1. Assists Provost and Senior Vice President in recruiting, hiring, orientation, and training of personnel within the Division of Academic Affairs.

  2. Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions; coordinates and attends committee meetings.

  3. Provides leadership for the Academic Affairs administrative team.

  4. Performs research and analysis on specific issues, as required, and independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature.

  5. Manages supervisor's calendar and independently schedules appointments.

  6. Answers and screens Provost and Senior Vice President's telephone calls and correspondence and responds independently when possible.

  7. Acts as custodian of corporate documents and records.

  8. Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordination speakers, and controlling event budget.

  9. Assists the Provost and Senior Vice President on specific projects related to the long-term goals of the university, such as strategic planning, fiscal responsibility, etc.

  10. Assists the Provost and Senior Vice President with the maintenance of all contracts/agreements with outside vendors.

  11. Works with Provost and Senior Vice President and the university's legal counsel to prepare agreements prior to renewal or startup.

  12. Develops and implements new administrative systems.

  13. Arranges and coordinates travel schedules and reservations.

  14. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings as needed.

  15. Performs other duties that are specific to the Office of the Provost and the Division of Academic Affairs.

  16. Presents a positive supportive image of the Office of the Provost and the Division of Academic Affairs, California Baptist University and Christian Higher Education.

Supervisory Responsibilities

Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing and training employees; planning, assigning, and directing work; appraising performance; disciplining employees; addressing complaints and resolving problems. This position could also be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

  • Must be highly organized who is able to remain calm in a fast-paced, environment.
  • Attention to detail and ability to follow-through with projects a must.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to stand; walk; sit; and requires sufficient hand, arm, and finger dexterity to operate computer keyboard or other office equipment. Requires visual acuity to read words and numbers and speaking and hearing ability sufficient to communicate in person or over the phone. The employee must occasionally lift and/or move up to 15 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Work normally performed in a typical interior/office work environment, with minimal exposure to health or safety hazards.

Education and/or Experience

Bachelor's degree from four-year university; or two to three years of related experience and/or training; or equivalent combination of education and experience.
