Administrative Services Clerk Sao

This position primarily provides clerical and administrative support services to area office personnel.

Duties:

  • Provides assistance to area office personnel, filing, copying, purchasing, and answering telephones.
  • Maintains supply inventory and monitors purchases/equipment loans/disposition of equipment.
  • Responsible to ensure that all invoices are paid timely, and maintains vendor files and office accounts.
  • Receives, routes, sorts, and distributes mail and correspondence, reports, and general administrative duties.
  • Assists staff with managing and scheduling of appointments, meetings, assignments.
  • Serves as in-house IS "help desk" and liaison to CTSI-IS.
  • Verification of proper documentation for program applications.
  • Assists tribal members in obtaining tribal ID cards, verification of documentation, identity, taking tribal ID photos, obtaining signatures to submit to the CTSI Enrollment department.
  • Assist with the coordination of community events.
  • Records and maintains a confidential log of area office visitors. Directs patients, clients and visitors to appropriate program or personnel, handling routine requests within capabilities.
  • Serves as the official greeter, information guide for the tribe.
  • Responsible for creating and distribution of a monthly area office newsletter.
  • Serves as area office intake worker for CTSI's housing LIHEAP program. Schedules appointments, completes application for clients; ensures required documentation is collected; determines eligibility, and communicates "verbal" LIHEAP commitment to the utility company.
  • Supervisor may assign other duties as needed.

Requirements:

High school diploma or GED and one year experience in an office setting, preferably in a business office - OR - an equivalent combination of education and/or experience.

  • Knowledge of correct punctuation, capitalization, spelling, grammar, filing and writing format.
  • Computer applications including MS Office Suite, (i.e. Word, Outlook, Excel, Powerpoint, and Publisher), preferred.
  • Correct use office equipment, including: copier, FAX, calculator, multi-user telephone system, word processor and audio/visual equipment, preferred.
  • Ability to multi-task in a fast paced environment.
  • Type 40 words per minute.
  • Must possess a valid Oregon state driver's license, insurance and be eligible to drive a GSA vehicle (depending on location).
