Emphasis in supporting the Business and Entrepreneurial Staff (BES). Must work closely with other administrative professionals at the Main Campus and in the Workforce and Economic Development (WED) Division in providing office support.

QUALIFICATIONS

  • Bachelor's degree or appropriate certificate of training preferred.

  • Must be proficient in Microsoft Office, emphasis in Excel and Word.

ESSENTIAL JOB FUNCTIONS

\t

  • Greet and welcome individuals who come to the Center for Business Development (guests, prospective clients, instructors, vendors, etc.). Direct visitors to the appropriate person and/or office.

\t

  • Engage with tenants of the Center for Business Development and assist with troubleshooting facility issues and/or connecting them with resources and services provided by Meridian.

\t

  • Facilitate daily operations including assisting potential new clients, responding to client issues and registering new clients.

\t

  • Maintain all BES program files.

\t

  • Assist in preparing client lease agreements for Peak and Center for Business Development.

\t

  • Send monthly tenant invoices and track payment for Peak and Center for Business Development as requested.

\t

  • Prepare move-in and move-out notifications for internal staff.

\t

  • Enter data and maintain client information in the customer relationships management (CRM) database.

\t

  • Accurately enter client, class and student information into the student information system and scan all class folders.

\t

  • Coordinate mail and deliveries for the Center for Business Development and tenants.

\t

  • Prepare class folders containing the course syllabus and class roster for each class.

\t

  • Prepare and submit (accurately and on time) reports required by the Oklahoma Department of Career & Technology Education in the ODCTE database.

\t

  • Complete necessary in-house written communication including invoices, event sheets, requisitions, memorandums, training agreements, payroll requests, inventory, and invoice information sheets.

\t

  • Answer telephones for the BES Department and occasionally for the WED Division. Answer questions and provide excellent customer service in assisting clients, students, and coworkers.

\t

  • Manage scheduling process for conference rooms, boardroom, training rooms, and classrooms.

\t

  • Occasionally provide phone and office coverage, answering and transferring calls for the Main Campus switchboard and WED, as requested.

\t

  • Schedule meetings, events, and training classes for clients and schedule use of Meridian facilities both the South and Main Campus. Serve as host for groups on campus as needed.

\t

  • Prepare instructor class folders containing name tents, evaluations, and instructional materials for training classes.

\t

  • Coordinate printing and binding of course materials.

\t

  • Set up classrooms, when necessary, with equipment and coordinate with the Culinary Arts department or outside vendors when refreshments are requested for meetings.

\t

  • Compile information from class evaluations for easy analysis and review.

\t

  • Order instructional supplies, materials and books when necessary for training classes.

\t

  • Prepare purchase order requisitions for BES staff and instructors.

\t

  • Monitor and replenish copier and printing supplies for the Center for Business Development.

\t

  • Research, prepare, and book travel arrangements for BES staff when requested.

\t

  • Implement and support WED Division net promoter score tracking. (Initiative in progress)

\t

  • Promote Meridian Technology Center, its programs, and employees at every available opportunity.

\t

  • Assist other Main Campus staff when necessary.

\t

  • Attend staff meetings as requested by the Superintendent, the Executive Director of Workforce and Economic Development, and Director of Business and Entrepreneurial Services.

\t

  • Utilize work time efficiently and report any exceptions to supervisor and WED Executive Director.

\t

  • Abide by all policies and procedures adopted by the Meridian Technology Center Board of Education and assist in implementing all policies and/or procedures governing client conduct.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to occasionally lift items weighing as much as 25 pounds.

Work Hours

Monday through Friday, 7:30 a.m. - 4:30 p.m.

Contract Length

12-month position

STANDARDS OF PERFORMANCE

The Administrative Professional, Workforce and Economic Development, will be evaluated on the previously listed responsibilities to determine satisfactory compliance. These evaluations will determine salary increases and career advancement possibilities.
