Job Description Summary

Dauch is looking for an Administrative Paralegal to join our team at our World Headquarters in Detroit, MI.

The primary responsibility of the Administrative Paralegal is to provide effective, professional support to the legal department. The individual will be responsible for ensuring the smooth functioning of the department, while maintaining a climate of strict confidentiality and discretion. This position will support multiple executives.

The ideal candidate has experience in an in-house or law firm setting. Paralegal certificate is preferred.

Job Description:

  • Assists multiple attorneys and a corporate paralegal, ensuring that all administrative tasks are handled efficiently and effectively.

  • Partners and coordinates with executives, colleagues, outside counsel, and vendors to resolve issues as they arise, in a helpful and professional manner.

  • Handles administrative and related functions, including answering phone calls, emails, scheduling, and calendaring requests.

  • Organizes executives’ travel including flights, hotel accommodations, ground transportation, security requirements, and related expense reports.

  • Assists associates with visa requirements in advance of international travel and monitor for changes to such requirements.

  • Assists with preparing, creating, and distributing board meeting materials.

  • Maintains and manages company minute books.

  • Assists with preparing and coordinating annual director and officer questionnaires.

  • Drafts professional e-mails, correspondence, memos, reports, presentations, and other documents from drafts.

  • Drafts template agreements as directed, monitor for receipt, and maintain comprehensive database.

  • Prepares, distributes, and collects signature pages.

  • Meticulously maintains electronic and paper case files, ensure ability to retrieve necessary documents from shared drive, SharePoint and paper files.

  • Establishes and handles systems for managing office routine and legal department file room; set up and maintain filing systems; set up work procedures.

  • Reviews and discerns incoming mail, service of process filings, correspondence, memos, submissions, and reports and distribute appropriately.

  • Reviews and monitors all incoming invoices from outside counsel and vendors, circulate, and submit for payment, including maintaining database/spreadsheet.

  • Edits/proofs all work for correct grammar and spelling.

  • All other duties as assigned.

Required Skills and Education

  • Associate's or Bachelor's Degree.

  • 5+ years of Executive Assistant experience within a Legal department or Paralegal experience, preferably within the Legal industry.

  • Computer knowledge with excellent Microsoft Outlook, PowerPoint, Word, Excel, Adobe Pro, Diligent Boards and other productivity software skills.

  • Proficient typing speed and word processing skills.

  • Knowledge of administrative and clerical procedures, business principles, and general legal documents.

  • Michigan Notary or ability to obtain.
