Administrative Operations Coordinator

Location: Gaithersburg, MD

Pay Rate: $26.00 - $28.50 per hour

Position Type: Temporary-to-Hire

Schedule: Full-Time, Monday-Friday

A growing professional services organization is seeking a highly organized and detail-oriented Administrative Operations Coordinator to support daily business operations, human resources activities, and general office administration. Key Responsibilities

Administrative & Operational Support

  • Provide administrative support to leadership and operational teams.
  • Prepare reports, presentations, correspondence, and business documents.
  • Track deadlines, action items, and follow-up activities.
  • Maintain confidential records and documentation.
  • Assist with internal communications and administrative projects.
  • Support process improvement initiatives and special projects.
  • Assist with recruiting activities, interview scheduling, and candidate communications.
  • Support employee onboarding and new hire administration.
  • Coordinate performance review schedules and related documentation.
  • Maintain employee files and records with strict confidentiality.
  • Assist with HR programs, employee engagement initiatives, and compliance tracking.
  • Coordinate team meetings, employee events, training sessions, and company celebrations.
  • Manage logistics, vendor communication, and scheduling.
  • Support employee recognition and engagement activities.
  • Maintain training records and professional certification tracking.
  • Assist with compliance documentation and regulatory filings.
  • Monitor renewal schedules and required reporting deadlines.

Financial Administration

  • Process vendor invoices, payment requests, and employee expense reimbursements.
  • Verify approvals and supporting documentation for payments.
  • Organize and maintain payment records and receipts.
  • Assist with tracking incoming payments and account documentation.

Will assist with:

  • Greet visitors and provide professional customer service.
  • Coordinate shipping, receiving, mail distribution, and courier services.
  • Provide front desk coverage as needed.
  • Support day-to-day office operations to ensure a productive work environment.

Qualifications

Required

  • High school diploma or equivalent.
  • 1+ year of office administration, customer service, or coordinator experience preferred.
  • Proficiency with Microsoft Office 365, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to handle sensitive and confidential information.
  • Dependable, professional, and detail-oriented.

Preferred

  • Associate or bachelor's degree preferred but not required
  • Experience supporting HR, accounting, or professional services teams.
  • Familiarity with scheduling, document management, or business software systems.
  • Exposure to invoicing, billing, or accounts payable processes.
