Administrative / Office Services Management

Direct/Manage/Supervise administrative and office services. Lead staff and delegate office duties which may include meeting planning, accounting support, reception, payroll, facilities, maintenance, supply management, and various back office functions. Implement procedures and policies while overseeing and ensuring the efficiency of office operations. Organize and schedule meetings and appointments. Maintain daily and weekly reports and submit to appropriate personnel. Manage relationships with vendors and service providers. May be responsible for managing office budget, contract/price negotiations with office vendors, and serving as general point person.

Responsibilities

  • Primary contact for administrative tasks within Family and Consumer Studies, the School of Public Affairs, and the Health, Society & Policy program.
  • Staff management and supervision such as task delegation, hiring, performance appraisals, professional development, and time card management
  • Office operations and administration such as implementing policies and procedures, organize and schedule meetings, coordinating with HR, Finance, and Facilities workflows, and analyze complaints and concerns.
  • Faculty support and Academic processes such as overseeing Retention, Promotion, Tenure (RPT), Tenured Faculty Reviews (TFR), and Career-Line, Adjunct, and Visiting Faculty (CAV). Manage details related to leaves of absence, administrative appointments, and faculty reporting.
  • Strategic collaboration and policy implementation which will require close communication with unit leadership, CSBS administrative leadership, and close collaboration with departments, HR, Finance, CSBS leadership, and Facilities.

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Manager, Administrative / Office Services Management: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.

Senior Manager, Administrative / Office Services Management: Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience.
