We are currently seeking an Administrative / Fleet / Energy Coordinator to support facilities operations on a college campus.

Position Summary

The Administrative / Fleet / Energy Coordinator provides administrative and operational support for facilities management, fleet operations, and energy management programs. This role is responsible for coordinating work orders, tracking fleet performance, monitoring utility consumption, maintaining records, and supporting reporting initiatives that improve operational efficiency and sustainability across campus.

Responsibilities:

Administrative Support

  • Coordinate and manage facilities work orders, service requests, and departmental communications
  • Maintain accurate records, reports, contracts, and operational documentation
  • Assist with budgeting, invoice processing, purchase orders, and vendor coordination
  • Prepare reports, presentations, and operational summaries for facilities leadership
  • Support scheduling, meetings, and special projects across the facilities department

Fleet Management Support

  • Maintain fleet records, vehicle registrations, inspections, and maintenance schedules
  • Track fuel usage, vehicle utilization, and maintenance expenses
  • Coordinate preventive maintenance and repair scheduling for campus vehicles
  • Assist with fleet compliance reporting and driver documentation
  • Support vehicle inventory management and replacement planning initiatives

Energy Management Support

  • Monitor utility consumption data, including electricity, water, natural gas, and steam usage
  • Assist with energy conservation and sustainability initiatives
  • Track utility expenses and support energy budget forecasting
  • Compile energy performance reports and identify usage trends
  • Coordinate utility meter readings, audits, and documentation
  • Support campus sustainability programs and environmental compliance efforts
Qualifications:

Qualifications

  • Associate degree in Business Administration, Facilities Management, Sustainability, Engineering Technology, or related field preferred
  • 2–4 years of administrative, facilities, fleet, or energy management experience
  • Strong proficiency with Microsoft Office Suite, particularly Excel
  • Experience with CMMS, fleet management, or energy management software preferred
  • Excellent organizational, analytical, and problem-solving skills
  • Strong attention to detail and ability to manage multiple priorities
  • Effective written and verbal communication skills
  • Experience working in higher education, facilities management, or operations environments preferred

Physical Requirements

  • Ability to sit and work at a computer for extended periods
  • Ability to walk campus facilities to conduct inspections and gather operational data
  • Occasional lifting of office supplies, files, or equipment up to 25 pounds
  • Ability to travel throughout campus locations as needed
  • May occasionally enter mechanical rooms, utility spaces, and fleet service areas
