Job description:

We are seeking an adaptable, upbeat, and highly organized individual to join our Risk Management team as an Administrative Coordinator. This role provides critical administrative and clerical support, including direct assistance to the Director of Risk Management. The ideal candidate is a motivated self-starter who demonstrates professionalism, discretion, and the ability to manage both routine responsibilities and special projects.

Responsibilities include but are not limited to:

  • Answer and direct phone calls to the appropriate team members

  • Manage multiple calendars and coordinate meetings

  • Accurately record and distribute meeting minutes

  • Distribute mail to the appropriate recipients

  • Order and maintain department supplies, as necessary

  • Plan and organize department anniversaries and other team activities

  • Process invoices and team reimbursements as well as track department expenses

  • Update electronic files and other resources for various Risk Management programs

  • Perform routine quality assurance checks for Risk Management processes

  • Conduct research and support special projects, as assigned

  • Assist the Drug & Alcohol Compliance Coordinator by obtaining requested Motor Vehicle Records (MVRs) and accurately communicating drug and alcohol test results

  • Participate in a rotating schedule (during and after business hours) to ensure timely dissemination of Report a Potential Claim (RPC) notifications
