Nature & Purpose of Position
Performs advanced and complex administrative support duties for the Master's in Applied Biomedical Sciences (MABS) program in the College of Osteopathic Medicine.
This is a full-time, temporary, benefits eligible, grant funded position expected to end on or before 10/31/2029. Continuation of the position is contingent upon continued funding.
Primary Responsibilities
Provides administrative and budgetary support for the Master's in Applied Biomedical Sciences (MABS) program in the College of Osteopathic Medicine (COM), including daily operations, expense monitoring, and compliance with university and federal regulations. Manages calendars, meetings, correspondence, travel arrangements, and departmental events for the department chair and faculty. Oversees budget requests, P-Card transactions, account expenditures, and financial reporting, maintaining accurate records. Implements and monitors departmental processes, project timelines, and policies; identifies and addresses potential issues. Trains faculty on budget procedures, promotion processes, and workload compliance. Serves as a liaison with university departments, faculty, staff, students, and external partners. Maintains secure records related to grant-funded projects and personnel, ensuring deadlines and reporting requirements are met. Supports COM initiatives. Performs related duties as assigned.
Other Specifications
Requires detailed knowledge of university infrastructure, policies and procedures, and office systems. Requires thorough knowledge of grant administration practices, budgeting principles, and compliance standards. Ability to interpret complex guidelines, manage multiple priorities, and maintain a high level of accuracy and organization. Demonstrated ability to solve problems, anticipate project needs, and support continuous improvement of grant-related processes. Strong organizational skills, attention to detail, and exceptional communication skills.
