Job Responsibilities
Manages SCDOT District 2 Office communications and front office greeting counter. Performs and oversees the answering of telephones, greeting visitors, routing inquiries to appropriate district staff or providing information as needed. Provides contact information in regard to phone assignments and District 2 Intranet Web page for updates as needed. Manages clerical and administrative activities associated with the SCDOT District 2 Office and coordinates with fourteen (14) county maintenance and construction offices. Provides field offices with general guidance and advice related to administrative/clerical matters; coordinates district clerical staff meetings and information for district consistency; maintains District Office correspondence and report files; ensures office building is locked and secured at the end of the workday. Manages District Office process as time administrator in SCEIS; maintains related files of all necessary digital and paper documentation as needed per department policies and procedures. Prepares, reviews, and distributes weekly missing time reports to all District 2 Unit Offices. Coordinates with District 2Training Coordinator concerning the processing of travel request forms, training and conference registration fees, hotel reservations, and direct billing as needed. Prepares and processes travel expense claims related to travel, training, and conferences. Assists employees with the completion of forms, obtaining appropriate signatures and routing for approvals as needed. Manages, coordinates, and schedules all registration and travel related to construction inspector certification courses as needed. Compiles reports and coordinates submittals to HQ as needed. Prepares meeting agendas, maintains and updates district calendar of events, records minutes for meetings as necessary. Prepares and processes memorandum and letter responses for general correspondence, local events, and project related bridge and road closures for the DEA's signature per department policy. Assists district staff with scheduling interviews and coordinating onboarding new hires as needed. Reviews and distributes all correspondence, mail, reports, circulating mail throughout the District Office and managing the courier mail system daily. Plans, organizes, and coordinates district office events as needed. Performs other related duties as assigned.
Minimum and Additional Requirements
A high school diploma and one and one-half (1.5) years of relevant experience in business management, public administration, or administrative services; or an approved acceptable equivalence.
The physical demands for the essential functions includes sitting or standing at a desk for an extended periods and working on a computer. May be required to lift up to 30 lbs. May be required to work outside normal business hours.
