The head office for Charm Diamond Centres (CJ Limited) is looking to fill the full-time role of an Administrative Coordinator at our location in Dartmouth, NS.

The Administrative Coordinator will provide essential day-to-day administrative support to the merchandising team, ensuring accuracy, efficiency, and timely execution of administrative and operational processes. We are seeking a highly organized, detail-oriented individual who thrives in a fast-paced office environment, supports our retail stores effectively, and is committed to delivering excellent internal service while contributing to inventory flow, store requests, and departmental initiatives.

Key Responsibilities:
- Inventory & Departmental Administration
- Coordinate and execute transfers among stores
- Ensure accurate product data entry
- Assist with manifesting shipments and tracking the movement of goods
- Write up and process repair orders accurately and efficiently
- Print and distribute appraisal certificates as required
- Maintain organized and accurate documentation
- Store & Operational Support
- Respond to store inquiries related to repairs, certificates, and inventory requests
- Troubleshoot and escalate issues as needed
- Ensure timely communication and follow-through on requests
- Assist with special projects and departmental initiatives as required
- Support inventory-related tasks, including audits and organization
- Contribute to improving processes for efficiency and accuracy
Required Skills:
- Strong attention to detail and high level of accuracy
- Excellent organizational and time-management skills
- Effective communication skills (written and verbal)
- Ability to manage multiple priorities in a fast-paced environment
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Experience with inventory systems or retail operations is an asset
- A proactive and dependable team player
- Strong critical thinking skills and a customer-service mindset
- Ability to work independently while supporting a collaborative team
