JOB SUMMARY

 

The Administrative Controls Supervisor is responsible for overseeing and managing employee attendance compliance, including tracking attendance records, administering attendance point systems, and ensuring consistent and fair application of disciplinary actions. This role plays a critical part in maintaining workforce accountability, supporting operational efficiency, and ensuring adherence to company policies and legal requirements. 

 

RESPONSIBILITIES

Attendance Management

  • Oversee and maintain accurate employee attendance records, including absences, tardiness, and leave usage in AOD.
  • Administer the organization's attendance point system, ensuring timely and consistent updates
  • Monitor attendance trends and identify patterns of concern or policy violations
  • Partner with HR and leadership to address attendance issues proactively
  • Develop attendance incentive programs to encourage positive attendance behaviors

Disciplinary Administration

  • Enforce company attendance and conduct policies through consistent disciplinary actions
  • Issue and track corrective actions, including verbal warnings, written warnings, final warnings and escalated termination measures
  • Ensure disciplinary actions are documented accurately and in accordance with company policies and employment laws
  • Obtain approval from Human Resources on appropriate disciplinary procedures for attendance incidents

Policy Compliance & Process Oversight

  • Ensure adherence to company policies, labor laws, and regulatory requirements related to attendance and discipline
  • Conduct audits of attendance records and disciplinary actions for accuracy and consistency
  • Partner with Human Resources to ensure employees' Family and Medical Leave Act (FMLA) and accommodation requests are processed officially.
  • Ensure employees on the job injuries (OJI) are coded appropriately in system

Reporting & Analysis

  • Create attendance tracking methods to monitor next steps in attendance disciplinary measures
  • Generate regular reports on attendance metrics, point system status, and disciplinary actions
  • Analyze data to identify trends, risks, and opportunities for improvement
  • Provide recommendations to leadership to improve attendance management and employee accountability

Employee & Manager Support

  • Serve as a subject matter expert for attendance policies and disciplinary procedures
  • Train supervisors and managers on attendance tracking systems and disciplinary processes
  • Address employee inquiries regarding attendance, points, and corrective actions
  • Collaboration with HR on escalated employee relations issues

 

MINIMUM REQUIREMENTS

 

  • Three (3) years of experience in Operations, workforce management, human resources or a related administrative role
  • Proficiency in HRIS, AOD, timekeeping, or workforce management systems
  • Strong Microsoft Office and Adobe skills (SharePoint, Excel, Word, Outlook)
  • Excellent organizational and record-keeping skills for review and storage of employee attendance files and compliance tracking.
  • High attention to detail and accuracy
  • Strong analytical and reporting skills

 

PREFERRED SKILLS

 

  • Experience managing attendance systems and employee discipline processes
  • Three (3) years in Union environment

 

EDUCATION

 

  • Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience)
