Position Summary

This position provides administrative support to the Office of the Senior Vice President for Academic Affairs and Provost and serves as an integral member of the staff support team. The position provides primary administrative support for the Vice Provost for Academic Affairs and the Vice Provost for Academic and Community Engagement. Working collaboratively with other staff, this position helps ensure efficient and effective service delivery within the Provost's Office. The position routinely handles confidential matters and must exercise sound judgment, discretion, and professionalism.

Knowledge, Skills, Abilities and/or Competencies

The successful candidate will demonstrate:

  • Strong organizational, written, and oral communication skills.
  • Demonstrated ability to provide professional administrative support in a fast-paced, executive-level office.
  • Ability to manage multiple priorities, solve problems, and follow through on time-sensitive assignments.
  • Ability to work independently, ask appropriate questions, and collaborate as part of a team.
  • Strong attention to detail and ability to proofread and prepare accurate documents.
  • Proficiency with Microsoft Office, including Outlook calendar management, Word, Excel, PowerPoint, and Teams.
  • Demonstrated ability to exercise discretion and sound judgment with confidential information.

Physical Demands

Normal office functions, including:

  • Walking short distances on the UGA campus to pick up and deliver time-sensitive items;
  • Lifting/carrying boxes of approximately 15-20 pounds;
  • Bending, lifting, and stooping for filing.

Executive Administrative Support and Calendar Management

Support the Vice Provost for Academic Affairs and the Vice Provost for Academic and Community Engagement through proactive calendar management, meeting coordination, preparation of materials, and coordination of logistics. Serve as a primary point of contact for scheduling and help ensure that meetings, materials, and follow-up items are organized and timely.

Percentage of time 40 Duties/Responsibilities

Office Operations and Communication

Provide general administrative support for the Provost's Office, including greeting visitors, answering calls, monitoring incoming mail and email, responding to routine inquiries, routing requests appropriately, proofreading and transmitting outgoing documents, and communicating information about university procedures, policies, regulations, and programs.

Percentage of time 30 Duties/Responsibilities

Financial, Records, and Document Management

Process routine financial transactions, including reimbursements, office supply orders, and state and foundation check requests. Maintain physical and electronic filing systems, scan and organize records, and archive materials in accordance with university policies.

Maintains the Provost's Office filing system. Handles all hard copy filing and scanning of digitally filed documents. Keeps documents, mail, correspondence, and other materials organized in a system that is easily accessible to all staff. Annually archives materials in accordance with University policies.
