POSITION: Administrative Assistant to the Principal

LOCATION: Discovery Middle School

HOURS: 40 hours per week

Monday Friday

240 days per year

JOB SUMMARY:

The Administrative Assistant to the Principal manages and carries out all functions of the school office in relation to school staff, student body, parents, general community, and district needs as directed by the principal. He/she must have the ability to maintain tact and diplomacy under stressful situations. He/she must possess the necessary secretarial and public relations skills required for the position.

MINIMUM QUALIFICATIONS:

  • High school graduate or equivalent.
  • Experienced in office procedures, including the operation of copy machine, fax machine, and public announcement system.
  • Working knowledge of Microsoft Office, Gmail, Google Drive/Docs, and MiStar.
  • Interpersonal and judgmental skills necessary to work effectively with students, staff, and the public.
  • Ability to analyze work and projects to achieve maximum efficiency, anticipate problems, and provide solutions.
  • Possess excellent organizational skills
  • Ability to set, manage, and coordinate multiple priorities.
  • Excellent written and oral communication skills.
  • Ability to take initiative and work independently without direct supervision.
  • Ability to maintain tact and diplomacy under stressful situations.
  • Ability to maintain confidential information.
  • Demonstrated commitment to continuous improvement.

DUTIES AND RESPONSIBILITIES:

  • Assumes responsibility for the general office.
  • Provides a full expanse of customary secretarial support to the principal.
  • Receives, assists, and processes telephone inquiries.
  • Assists in developing and preparing building newsletters, forms, etc. needed for communication.
  • Maintains attendance information and prepare time sheets for all applicable building staff.
  • Performs basic accounting duties.
  • Maintains and submits monthly petty cash report as requested.
  • Assumes responsibility for accounting and banking.
  • Monitors building budgets for fiscal responsibility.
  • Monitors and orders various supplies, equipment as needed for the building and staff.
  • Registering new students and processing student records
  • Uses SMART XL to type all requisitions, check requests, and initiate purchase orders necessary for the efficient operation of the school.
  • Prepares confidential personnel evaluations.
  • Performs basic computerized (Excel) accounting duties.
  • Answers questions from students, teachers, and parents regarding school policies and procedures.
  • Assists in emergencies as defined by building plan.
  • Assists students as needed.
  • Bending, lifting, and overhead work required.
  • Performs other tasks as directed by immediate supervisor.

Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus.

Upon recommendation for employment, Section 1230g, as amended, of the Revised School Code requires all school employees to be electronically finger printed for the purpose of undergoing a criminal history background check. The fingerprinting is conducted by a third party and is at the expense of the applicant. Cost for fingerprinting is approximately $70.00.
