The Chilton School District is seeking a highly organized, collaborative, and detail-oriented Administrative Assistant to join our District Office team. This position provides comprehensive administrative support to the Director of Pupil Services and plays a vital role in the efficient operation of programs serving students with disabilities, multilingual learners, school-based mental health initiatives, and transition services.
This position requires exceptional organizational, communication, and technology skills; sound judgment; initiative; and the ability to manage multiple priorities with professionalism, discretion, and confidentiality.
The ideal candidate anticipates administrative needs, independently resolves routine matters, manages sensitive information with the highest level of confidentiality, and consistently provides outstanding customer service to students, families, staff, and community partners.
Essential Responsibilities
Perform advanced administrative support functions, including complex calendar management, scheduling, correspondence, meeting coordination, document preparation, and follow-up.
Develop, maintain, and monitor organizational systems to track deadlines, databases, spreadsheets, meetings, compliance activities, projects, and follow-up tasks.
Prepare, edit, proofread, and organize professional correspondence, reports, presentations, agendas, meeting materials, spreadsheets, and other department documents.
Maintain accurate, organized, and highly confidential student, family, personnel, medical, special education, behavioral, and other protected records in accordance with applicable laws and District procedures.
Support departmental operations, including purchasing, invoices, budget documentation, contracts, supplies, and professional development.
