ROLE AND PURPOSE:

Provide support for the Chief Communications Officer and team, coordinate budget, meetings, vendor agreements, travel plans and other similar day-to-day operations of the marketing and communications office and provide accurate information to the public when responding to inquiries.

QUALIFICATIONS:

Education/Certification:

  • High school diploma or equivalent
Experience:
  • Fifteen semester hours of college credit with some business orientation or equivalent business college training; or successful demonstration of competencies in typing, filing procedures, office records, management, computer skills and business writing; or three years of general clerical/administrative assistant experience
  • Public school experience preferred
SPECIAL KNOWLEDGE AND SKILLS:
  • Proficient in general office skills, typing and data entry
  • Proficient in budgeting skills and processes
  • Above average writing skills (spelling, punctuation, grammar, proofreading, etc.)
  • Extensive telephone and clerical skills
  • Excellent communication skills
  • Must be able to multi-task
  • Demonstrated ability to work with others
  • Self-motivated with the ability to work under the pressure of deadlines
  • Able to analyze problems and situations quickly, draw logical conclusions, and plan and implement an effective course of action during stressful situations
  • Knowledge of district and district policies and procedures preferred
  • Bilingual (English/Spanish) with ability to accurately and proficiently translate documents
MAJOR RESPONSIBILITIES AND DUTIES:

ADMINISTRATION AND FISCAL MANAGEMENT
  • Enter budgets for which the Chief Communications Officer is responsible, keep current status of accounts and make necessary data entries for adjustments to budgets
  • Ensure all necessary district requirements for vendors are fulfilled and maintained. Assist vendors with quotes, purchase orders and payments
  • Assist Marketing & Communications department with preparing/compiling materials for the public, stakeholders, internal staff, events and any other similar requests
  • Organize, manage and perform office duties and related activities as required such as preparing agendas, scheduling and meeting notes
  • Receive and screen telephone calls for Chief Communications Officer
  • Translate publications, crisis communications messages, news releases and more
  • Coordinate printing needs with print shop and outside vendors
  • Maintain calendars and arrange meetings for Chief Communications Officer
  • Make travel arrangements for Chief Communications Officer and team members as needed
  • Prepare information, maintain supplies and assist department committees such as Operation Inspiration, pre-K Think Tank, etc.
  • Develop and maintain system to ensure team members have needed supplies on-time and within budget
  • Maintain timesheet for Chief Communications Officer and absences for team members
COMMUNITY RELATIONS
  • Handle all correspondence and calls in a knowledgeable manner in response to questions posed by members of the community, school staff, realtors, newcomers, internal staff, etc.
  • Maintain positive relationships with principals, teachers, co-workers and the public
  • Accept, log calls and communicate with Chief Communications Officer during crisis situations
  • Provide the public with accurate, timely information about Arlington ISD schools
  • Issue Gold Cards to senior citizens who live within the Arlington ISD boundaries and record in database
  • Organize and distribute collateral material throughout the administration building, district and community
  • Attend and assist with all communications department after-hours events (may include banquets, receptions and board meetings, as assigned)
  • Maintain effective/positive relations and communicate a positive image of the district/department to all constituents
