Description:

Administrative Assistant to the Assistant Superintendent of Student Services (Exempt Position)

Qualifications:

  • Proficient with office technology, including Google Workspace (Docs, Sheets, Forms, Drive), Microsoft Office Suite, and student information systems (SIS)
  • Accurate keyboarding, data entry, and reporting skills
  • Experience with data management, analysis, and reporting tools
  • Strong organizational skills, with the ability to manage multiple projects, priorities, and deadlines
  • Demonstrated project planning and management skills
  • Effective interpersonal and communication skills, both verbal and written
  • Ability to work independently and as part of a team, exercising sound judgment, discretion, and confidentiality
  • Commitment to providing high-quality service to students, families, staff, and community members

Responsibilities:

  • Provide administrative support to the Director of Student Services and Assistant Directors of Special Education, managing schedules, communications, and daily office operations
  • Serve as registrar for alternative schools, handling student enrollment, withdrawals, and record management in compliance with regulations for students not receiving special education services at alternative schools.
  • Coordinate home hospital instruction, credit attainment, and AP programming
  • Assist with and support state test administration
  • Collect, verify, and submit required data to regional, state, and federal agencies
  • Support health services by processing invoices, tracking budgets, and managing supply and medication inventory
  • Prepare reports, manage data entry, and assist with department projects, events, and professional development
  • Manage publications and communications to the school community, ensuring timely and accurate information sharing
  • Maintain and file student records
  • Act as a liaison between Student Services, schools, families, and community partners
  • Perform other duties as assigned by the Director of Student Services
  • Provide direct assistance to Assistant Directors of Special Education and leadership, including managing calendars, scheduling IEP and related meetings, and coordinating with internal staff, families, and external professionals.
  • Maintain, organize, and process confidential student records in compliance with IDEA, including IEP documentation, evaluations, rosters, and archiving records for graduating/exiting students.
  • Upload and manage student information in Student information System, track placement changes, process file transfers, and prepare incoming student files.
  • Track legal timelines, ensure documentation meets state/federal requirements, manage background checks for external staff, and process billing for specialized services.
  • Serve as a point of contact between special education, general education, families, and outside agencies; translate/arrange translations; distribute required notices.
  • Arrange transportation, schedule interdisciplinary meetings, support testing/psychological reviews, and oversee destruction of temporary records per regulations.
  • Other duties as assigned by the Assistant Superintendent of Student Services and Assistant Directors of Special Education

Working Conditions:

  • Frequent interruptions and shifting priorities.
  • Requires sitting for extended periods, with occasional lifting of materials (up to 30 lbs).
  • High level of interaction with staff and stakeholders
