Position Overview

Job Goal
Provide high-level, confidential administrative support to the Assistant Superintendent. Coordinate district-wide professional development programs, manage departmental workflows, and maintain sensitive district records to ensure efficient operations.
Qualifications
- Education: Minimum of 60 college credits or equivalent professional work experience.
- Experience: Five (5) or more years of administrative assistant or office management experience.
- Tech Skills: Advanced proficiency in Google Workspace, Systems 3000, and Genesis Student Information System.
- Compliance: Experience compiling data for state reporting, specifically NJ SLEDS.
- Skills: Exceptional written communication; strong organization; a proactive, self-starting mindset; and a proven ability to handle highly sensitive and confidential information with absolute integrity.
Responsibilities
Administrative & Workflow Management
- Manage daily office workflows and schedule appointments, conferences, and staff evaluations.
- Act as primary liaison by screening and routing calls, inquiries, and requests from staff and the public.
- Draft, proofread, and finalize correspondence, reports, and digital communications.
- Maintain organized digital and physical filing systems, including secure, locked confidential files.
Professional Development & Financial Coordination
- Process all district professional development requests from submission to final approval.
- Process purchase orders with associated PD.
- Prepare and track professional development items required for Board of Education agendas.
- Generate and manage purchase orders and financial documentation related to professional development.
Data & Compliance Support
- Shares responsibility for the Student Information System database, including updates, accuracy of data and all related district and state reports.
- Shares responsibility for NJ SLEDs student information database including uploads, reports and other information systems submissions and maintenance of optional submission data and all other reports required by the district.
- Maintain accurate records regarding departmental activities, including but not limited to professional development.
- Utilize advanced technology programs and databases to optimize department efficiency.
Professional Conduct
- Maintain strict confidentiality regarding all school district and Board of Education matters.
- Execute all duties in a professional, courteous, and cooperative manner.
- Fulfill other duties and special projects as assigned by the administration.
Salary determined by the UFRSD Board of Education, ranging from $50,000 to $60,000. The position includes health, prescription and dental benefits.
Evaluation: Performance evaluated annually in accordance with Board of Education policy.
