Job Summary:

The purpose of the Administrative Assistant position is to build strong relationships to provide successful organization and positive decisive energy to facilitate student learning and staff support. Work collaboratively with students, parents, staff, other administrators, and the community to develop and nurture a productive learning environment for all students.

Supervisory Responsibilities:

None

Duties/Responsibilities:

  • Provide customer service in a consistently positive, pleasant, and professional manner to all

stakeholders (staff, parents, teachers and students)

  • Manage Visitor Access (Buzz people in, Sign them in, Greet etc.)
  • Announcements (TJMS Newsletter)
  • Medications
  • All budgeting purchasing
  • Budget tracking
  • Athletics Support (online scheduling, officials, parent/team communications, tracking athletic forms, setting up bus schedules)
  • Field Trips (setting up/sending out online parent permission forms, Busing, paying venues, sending out communications, tracking permission forms/payments)
  • Hub for all financial intake (Fees, Field Trip Payments, school activities, etc...)
  • Make regular bank deposits
  • Promotion ceremony organization
  • Set up all bus transportation with bus company (Field Trips, Athletics, TAG)
  • Other duties as assigned

Required Skills/Abilities:

  • Strong organizational and time management skills

  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects simultaneously
  • Problem-solving and conflict resolution skills
  • Knowledge of district general administrative policies and procedures
  • Intermediate computer skills
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Skilled in problem analysis, data collection, and problem-solving
  • Ability to make decisions and act within the district and program policies, procedures, and

guidelines

  • Ability to work as a team member
  • Ability to organize, direct and administer programs and personnel
  • Ability to work in a diverse environment
  • Ability to uphold data privacy and confidentiality
