Position Snapshot:
We are seeking a highly professional, detail-oriented Administrative Assistant to provide direct support to a team of Advisors. This role is ideal for someone who thrives in a fast-paced, client-focused environment and understands the importance of discretion, presentation, and clear communication. The Administrative Assistant will serve as a key point of contact, ensuring seamless day-to-day operations while delivering a polished, high-touch experience to clients and internal stakeholders.
What You’ll Be Doing:
- Provide comprehensive administrative support to the team of Advisors, including calendar management, document preparation, and correspondence
- Handle sensitive and confidential information with the highest level of professionalism and discretion
- Prepare, review, send, and track client documents accurately and efficiently
- Serve as the first point of contact for incoming calls; professionally screen, route, and respond as appropriate
- Interact with clients in a courteous, polished, and service-oriented manner, both by phone and in person
- Maintain organized digital and physical filing systems
- Assist with meeting preparation, follow-ups, and coordination
- Collaborate closely with internal team members to support overall office operations
- Perform additional administrative duties as needed to support business objectives
What We’re Looking For:
- Proven experience in an administrative, coordinator, or client support role
- Exceptional communication skills, both verbal and written
- Highly presentable with a professional demeanor and strong interpersonal skills
- Strong commitment to confidentiality and handling sensitive information
- Tech-proficient with the ability to quickly learn new systems; strong working knowledge of Microsoft Office and digital document management tools
- Comfortable managing incoming calls and engaging with clients professionally
- Highly organized, detail-oriented, and able to manage multiple priorities
- Reliable team player with a proactive and positive attitude
- A polished professional who represents the advisor and organization with confidence
