Administrative Assistant,  – Public Works, Sewer Department, part-time, 19 hours per week

Position Overview: Reporting to the Director of Public Works and secondarily to the Board of Sewer Commissioners, the Administrative Assistant carries out a range of administrative duties, from routine to complex, to support the daily operations of the sewer commission office. Responsibilities include preparing and attending meetings, processing filings, and performing other related administrative tasks as needed. The role involves regular contact with the public, town officials, departments, boards, employees, contractors, developers, engineers, consultants, and attorneys, through in-person interactions, telephone calls, and written correspondence. The Administrative Assistant will also participate in confidential discussions and executive sessions, handling sensitive information and correspondence, and must always maintain strict confidentiality. 

Key Responsibilities:

  • Maintain an organized and efficient office environment while performing core administrative tasks such as filing, data entry, record management, and document preparation.
  • Process and distribute incoming mail and correspondence, ensuring timely routing to appropriate staff.
  • Track, process, and reconcile invoices, payment requests, and financial documentation in accordance with municipal procedures.
  • Coordinate board and committee meetings, including scheduling, agenda preparation, meeting materials, and recording/distributing minutes in compliance with Open Meeting Law requirements.
  • Serve as a primary point of contact by responding to public inquiries, providing information on permits and processes, and directing requests to appropriate staff.
  • Receive, review, and process applications and permits, ensuring completeness, tracking progress, and coordinating public hearings and required notifications.

Minimum Qualifications: • Associate degree, or equivalent experience in an office or professional setting. 

Preferred Qualifications: • Bachelor’s degree in business or related field. 

Compensation & Benefits:

This is a part-time position classified as Grade PT7 ( $24.63- $28.37 ). The Town of Cohasset offers a competitive salary commensurate with experience.
