This is a part-time fully onsite position located at our 100 Thermon Dr. San Marcos Texas office location on Tuesday, Wednesday, and Thursdays.

The Role
The Administrative Assistant plays a critical role at Thermon by providing high-quality support and service to the Marketing Department and local management while also serving as the office marketing administrator for the San Marcos campus. This role demonstrates the Companys values of Care, Commit, and Collaborate while being highly accountable.
This position requires the Administrative Assistant to maintain incredible organization, accuracy, responsiveness, and high-level customer, office, and client-focused support. The ideal Administrative Assistant performs a variety of administrative duties as they take on new challenges and wear multiple hats. You must exude calm and confidence and enjoy what you do, employing an optimistic, can-do attitude while having fun getting results.
Administrative Support Responsibilities - Marketing and Communications
- Provide high-level administrative and operational support to the Marketing & Communications Department under the direction of the Communications Manager.
- Manage sophisticated correspondence, scheduling, and coordination for the marketing and communications team, ensuring effective prioritization and follow-up.
- Track marketing-related expenses and prepare accurate expense reports using Concur.
- Manage the marketing office and oversee the organization and inventory of the marketing warehouse, including storage, distribution, and replenishment of marketing materials and promotional items.
- Review proof and coordinate marketing literature and materials to ensure brand consistency, accuracy, and alignment with corporate messaging prior to distribution.
- Plan, organize, and support marketing-led events, employee engagement activities, and company functions in collaboration with Communications and local leadership.
- Administer, organize, and maintain marketing quality assurance and training documentation to ensure accuracy, accessibility, and compliance.
- Perform additional administrative and marketing support duties as assigned to support departmental objectives and business initiatives.
- Source, manage, maintain, and train departments and individuals on the ordering platform for promotional and print items.
Office Management Responsibilities
- Manage day-to-day office operations, coordinating effectively with Marketing, Communications, IT, and other departments locally and globally.
- Serve as a welcoming and professional first point of contact by handling incoming calls and inquiries with discretion, courtesy, and professionalism.
- Support office logistics related to marketing activities, meetings, and events, ensuring smooth execution and minimal disruption.
- Provide backup support for administrative and operational tasks across the Marketing and Communications teams as needed to maintain continuity and efficiency.
- Will need the ability to travel to the Austin Thermon location as needed.
Qualifications & Experience
- Minimum of High School Diploma; Bachelors Degree preferred.
- 6 to 8 years experience as an administrative assistant.
- 2 years of office experience.
- Excellent communication skills, including presentation, persuasion, and negotiation skills.
- Must be able to communicate effectively and remain calm and courteous under pressure.
- Demonstrated ability managing multiple assignments, projects, and conflicting priorities with the pressure of short, demanding deadlines in a fast-paced environment.
- Proficiency of all Microsoft applications, including Microsoft Word, Excel, PowerPoint, Teams, etc., at an intermediate to advanced level, as well as the ability to quickly master other internal systems.
- Must be able to work onsite 3 days a week.
Physical Abilities
- Sitting: Ability to remain seated while working at a computer. Often involves 6-8 hours of desk work per day.
- Hand and Finger Dexterity: Typing, writing, using a mouse, filing, and handling documents.
- Office Equipment: Ability to operate standard office equipment (keyboard, copier, scanner, phone).
- Visual Abilities: Reading emails, documents, spreadsheets, and computer screens. Ability to focus on detailed information for long periods.
- Hearing and Speaking: Clearly handling phone calls, in-person communication, and meeting participation. Being able to understand and communicate instructions.
- Light Lifting and Carrying: Usually up to 10-20 lbs. Includes carrying files, office supplies, small packages, or meeting materials.
- Walking and Mobility: Moving between offices, buildings, conference rooms, printers, and supply areas. Reaching, bending, and occasionally stooping to retrieve files from lower or upper cabinets, organizing storage, or supplies.
- General Stamina: Ability to work through an 8-hour workday with typical office activity levels.
