Position Summary
The Administrative Assistant ("AA") reports directly to the Chief Medical Officer (CMO) and will provide a full range of administrative support to leverage and maximize the CMOs productivity including support of direct reports as required. Additionally, the AA will support up to 3 leaders including the General Manager of North America (duties include but not limited to calendar management, expense reporting and, such other meetings as requested); the VP, Marketing and Market Access (duties include but not limited to P.O. support, travel and payment arrangements for customers and on-site event logistic support ) and other functional leaders as needed.
The AA is primarily responsible for the organization, prioritization, and overall management of the CMO's dynamic meeting and travel schedule. The AA will serve as a liaison between internal and external customers, executive management, and outside organizations. This position requires an experienced, confident, intellectually curious, tech-savvy, confidential, and accountable executive administrator who is a strong team player. This AA is comfortable working at a fast pace, in an informal people-oriented environment, with high attention to detail, process, and quality, and is inspired to participate in a medical/scientific company whose mission is to help fill a significant global unmet medical need.
Responsibilities and Duties
Work closely with the CMO on to-do lists and help execute priorities.
Review and prioritize the CMO's emails/day as required. Flag is the most important item for her attention. Respond as appropriate, re-route or file in appropriate folders.
Calendar / Meeting Management
Update KPIs and Dashboards; participate in departmental meetings as required by CMO or designee; minute meetings as requested; keep appraised of projects, priorities and follow up on assigned action items
Serve as liaison with the executive team; assist with internal and external communications.
Proactively schedule and plan all weekly, monthly and management meetings
Make travel and hotel arrangements, register for conferences.
Assist in the assembly of appropriate materials to prepare the CMO for the meetings; distribute materials, follow up on outstanding items, compile briefing documents, etc.
Plans and coordinate, all logistical aspects of the CMO's travel arrangements (ground and air transportation services, hotel and restaurant reservations). Prepare a detailed itinerary for trips.
Process expense report.
Additional duties and responsibilities to be agreed by leaders with approval of the CMO
Requirements
Bachelor's degree and minimum 5(+) years of Executive support (C-Suite support preferred). Prior experience supporting a senior executive in a fast-growth tech start-up, biotech or medical device environment preferred; prior knowledge of working in a global company across time zones an advantage
Strong organizational and time management skills
Excellent communication skills
Proficiency in Microsoft Office Suite (PowerPoint; Word; Excel; Outlook)
Ability to work independently and proactively
Strong problem-solving skills
High level of professionalism and discretion
Experience with travel booking or expense reporting software
Able to work onsite at the Palo Alto Headquarters
Salary range: $55.05/Hr- $61.05/Hr (Commensurate with experience, skills, education and training)
This is Hourly/ Non - Exempt role
The successful candidate's starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
