Introduction

Winnebago Mental Health Institute (WMHI), located near Oshkosh Wisconsin, is recruiting a full-time Administrative Assistant. This position will work Monday through Friday, 8:00 am to 4:00 pm.

WMHI is a part of the Department ofHealth Services (DHS), Division of Care and Treatment Services (DCTS) and is a psychiatric hospital providing quality mental health services to children, adolescents, and adults.

Position Summary

As the Administrative Assistant, you will provide program support assistance in a variety of complex tasks that ensure Institute compliance with applicable standards (including Joint Commission, state Division of Quality Assurance, CMS, etc.). Responsibilities include:

Recommending modifications of medical staff bylaws to meet regulations and standards.
Providing consultation and working in collaboration with the Clinical Management staff to assure continuous improvement of clinical processes and procedures.
Performing initial and ongoing credentialing and privileging of qualified Medical Staff and maintaining files.
Gathering issues, preparing agendas, and facilitating follow-through on clinical decisions and practices.
Acting as a Quality Assurance/Improvement resource coordinator for the medical department.
Performing a variety of miscellaneous office functions, including orientation of new physicians, preparing surveys, and timekeeping of medical support services.

Salary Information

The starting pay is $22.76 per hour, plus excellent benefits. A 12-month probationary period is required.

Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is in the classification, Operations Program Associate and is in pay schedule and range 02/11.

Job Details

All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.

All appointees will be required to receive a TB test, which will be administered by the facility or medical personnel directed by the facility prior to their start date.

DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire. DHS is not an E-Verify employer nor a STEM-OPT eligible employer .

Qualifications

Minimally qualified applicants will have all of the following:

Experience performing administrative duties (e.g., maintaining files, answering phone calls, scanning documents, managing calendars, etc.).
Experience using Microsoft Office Suite (e.g., Word, Outlook, Excel, etc.) for office support tasks such as documentation, email correspondence, data entry, etc.
Experience providing customer service (e.g., providing instructions, answering questions, resolving customer complaints/conflicts, etc.) in a professional or business setting.
Ability to type 45 net words per minute (a typing test will be required).

Well-qualified applicants will also have one or more of the following:

Experience working with confidential or sensitive information such as personal identifiable information (PII) or medical/health records.
Experience performing administrative duties in a state position.
Experience working with licensing authorities and renewing licensure for providers.
Experience working with The Joint Commission (TJC) and training/education in how to prepare for a survey.
