Position Description
Reporting to the Dance Program Director, the Administrative Assistant of Dance will support the dance faculty and carry out all administrative duties outlined in the Position Responsibilities.
Position Responsibilities
Interview and hire work-study students.
Monitor/check voicemails daily
Manage Costume Closet and oversee janitorial cleaners of the studio.
Design posters and E-Flyers for three annual performances and place print orders.
Collect information to write the concert programs and send them to the printers.
Gather and distribute programs to the box office.
Oversee complimentary tickets and fundraising for shows.
Generate contracts for the lighting designer, board operator, stage manager, videographer, and photographer, and process check requests.
Oversee registration and student payments for ACDA; process check requests for attending ACDA.
Book rooms for the ACDA conference and organize chaperones and faculty, van rentals, and car rentals.
Upload faculty teaching information to ACDA.
Process all applications for incoming auditionees to the Dance Major/Minor programs.
Assist in the twice-annual auditions for prospective students.
Send email and Facebook blasts for local dance auditions, dance teaching opportunities, and discounted shows.
Catalog all departmental expenditures and help Stephen with the departmental budget.
Obtain W-9 forms for all guest instructors/choreographers.
Send all student choreographers their contracts and collect the signed copies.
Update the website photos, audition dates, faculty bios, and headshots.
Create sign-up documents for floor lay and lighting hang for each concert.
Update the department handbook.
Update Facebook, Instagram, and other social media.
Send out press releases prior to concerts.
Manage the dance studio scheduling.
Oversee NDEO-National Honor Society for senior Dance Majors.
Send all choreographers professional photos once available.
Obtain master class teachers bios and headshots for advertisement.
Set up the lobby photo board for McInnis shows.
Develop a strong working relationship with the Cheer and Dance Teams.
Compile a list of majors, minors, other student dancers, and alumni.
Shoot and post photos for social media.
Upkeep of the studio: order materials such as mops, Marley cleaner, mirror cleaner, and yoga mats.
Budget reallocation forms.
Prepare monthly credit card reconciliation forms; keep receipts for pretzels, flowers, bottled water, printer paper, and other office supplies.
Qualifications
Working knowledge of dance courses and requirements.
Proficiency in Microsoft Word and Excel.
Proficiency in Google Mail, Google Voice, Google Docs/Drive, and Dropbox.
Experience using Facebook and Instagram.
Pleasant and professional demeanor with students, faculty, and the administrative body.
Strong interpersonal and community-building skills.
Passion for dance education and supporting students.

Adjunct faculty may be eligible for medical coverage under the ACA after an annual one year lookback review.
Part-time staff who are scheduled to work less than 30 hours per week schedule are eligible for employer contribution towards the retirement plan after one year of employment. Eligibility rules apply. Adjunct faculty may make employee deferral contributions towards the retirement plan.
Part-Time Graduate Assistant Coaches are eligible for participation in the Tuition Remission Coaches Program.
Temporary, Contractors and Seasonal Employees: Individuals in this status are scheduled on an as-needed-basis and are not eligible for participation in the University's benefits programs.
