Job Title
Administrative Assistant of Alleghany Center

Job Description

The Administrative Assistant reports to the Director of the Alleghany Center and provides comprehensiveadministrative, business office, and operational support. This role includes business office functions, support for curriculum and WDCE faculty, placement testing coordination, front desk reception, and purchasing. The position works with students, faculty, staff, and community members to support the overall operations of the Alleghany Center.

Essential Duties Summary

Duties include:

Business Office & Financial Operations
  • Perform receipting for tuition, fees, and retesting; complete daily closing procedures and bank deposits.
  • Receive, prepare, and submit bills for processing.
  • Record and reconcile credit card transactions and monthly statements.
  • Provide general business office support as assigned.
Purchasing, Budget, and Inventory
  • Assist the Center Director with budget tracking, expenditures, and documentation.
  • Maintain equipment inventory, storage, and surplus removal.
  • Maintain files of contracts and MOUs.
  • Process travel requests and reimbursements.
  • Support student activities planning and coordination.
  • Manage Food Pantry operations, including purchasing, stocking, and compliance records.
Administrative &Operational Support
  • Provide administrative support to the Director and faculty.
  • Assist students and prospective students with enrollment and services.
  • Coordinate and administer placement testing and Academic Support Center testing.
  • Maintain vehicles, keys, badges, and facility access systems.
  • Coordinate maintenance and facility needs; submit work orders.
  • Manage weekly trips to the Wilkes Campus for operational needs.
  • Maintain center communications, including weather-related messaging.
  • Assist with opening/closing procedures.
  • Maintain class absence records and serve as liaison with Division Admins.
  • Perform Safety Coordinator duties (incident reports, SDS, AED monitoring, inspections).
  • Support special events and logistics.
BDC Support
  • Provide receptionist services and customer support.
  • Assist with conference room technology and scheduling.
  • Manage building access systems.
Bookstore & Instructional Support
  • Support bookstore operations and material planning.
  • Coordinate instructional materials availability and off-campus pickup.
  • Manage lending library inventory and tracking.
Additional Duties
  • Perform other duties as assigned.
  • Participate in professional development opportunities and serve on college committees or task forces as assigned.
Required Qualifications

Education/Experience:
  • A minimum of an associate degree in a related field, such as office systems technology, business administration, accounting, information systems, or a related field.
  • Previous experience in an office environment.
Skills:
  • Strong communication skills
  • Organizational, critical thinking and problem-solving abilities
  • Proficient with Microsoft Office Suite (particularly Word and Excel).

Physical Demands

Work is primarily performed under general supervision in an office setting with appropriate climate controls. Requires the ability to exercise good judgment in a variety of situations. Requires strong written and verbal communication, administrative, and organizational skills. Must be able to work under pressure and handle all confidential matters with discretion. Travel, evening, and weekend work will be required.

Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills are important.

Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

Essential functions of this position require lifting, manual dexterity, the ability to communicate, reasoning, critical thinking, and problem-solving.

Medium work: Exerting up to 25 pounds of force occasionally and/or up to 5 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body; involves sitting for long periods.

Salary
Salary Range: $31,200 to $42,000 based on education and experience in accordance with the college salary plan.
