We're currently looking for an organized, adaptable, and team-focused Administrative Assistant to support our office and operations teams. What You'll Do

As an Administrative Assistant, you'll help keep daily office operations running smoothly while supporting multiple departments throughout the company.

Responsibilities include:

  • Answering incoming calls and assisting customers professionally
  • Supporting scheduling and coordination for service and install teams
  • Assisting dispatch and call center teams during busy periods
  • Preparing install and close-out paperwork for completed jobs
  • Assisting with rebates, warranties, inspections, registrations, and permits
  • Supporting accounts payable/receivable with administrative tasks and data entry
  • Assisting with customer follow-ups and maintenance reminders
  • Maintaining organized records, licenses, certifications, and compliance documents
  • Providing cross-department support as business needs change
  • Helping maintain internal processes and procedures
  • Assisting with general office tasks and special projects as needed

What We're Looking For

  • High school diploma or equivalent required
  • 2+ years of administrative or office support experience preferred
  • HVAC, construction, or trades experience is a plus
  • Strong organizational and multitasking abilities
  • Excellent customer service and communication skills
  • Comfortable working in a fast-paced environment
  • Proficient with Microsoft Office and general office systems
  • Experience with service software is helpful but not required
  • Detail-oriented, dependable, and professional
  • Positive attitude and team-player mentality
