About the Position: We are looking for a dependable and detail-oriented Office Administrator for our U.S. operations. This role is part-time, with the possibility of becoming full-time.

The role involves supporting employee onboarding, timesheet and training tracking, expense documentation review, record maintenance, and general administrative coordination. The position also supports communication with employees and external parties, including government agencies and service providers, as needed.

Compensation: $18.00 USD per hour

Responsibilities

Employee Onboarding
  • Collect and review new hire onboarding documents.
  • Verify completeness and accuracy of employee records.
  • Follow up on missing or incomplete documentation.
  • Maintain organized electronic personnel files.
Timesheets & Training
  • Monitor timesheet submissions and follow up on outstanding entries.
  • Track employee training completion status.
  • Send reminders and maintain compliance records.
Expense Administration
  • Review expense reimbursement receipts and supporting documents.
  • Reconcile submissions with system records.
  • Maintain accurate expense documentation and reports.
Administrative Support
  • Maintain records related to U.S. business operations.
  • Manage business correspondence and administrative files.
  • Support data entry and document organization.
  • Assist with general compliance-related administrative tasks.
External Communication
  • Support U.S. administrative presence through handling business correspondence.
  • Communicate with government agencies, insurance providers, registered agents, and other external organizations as directed.
  • Assist with receiving, preparing, and sending official documents.
QUALIFICATIONS
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Previous office administration experience is an asset; recent graduates are encouraged to apply.
  • Strong attention to detail and organizational skills.
  • Good written and verbal communication skills.
  • Ability to work independently..
  • Proficiency in Microsoft Office and Google Workspace.
  • Comfortable handling confidential information.
