We are looking for a highly organized and professional Administrative Assistant to support our CEO and leadership team in our DTLA office. The ideal candidate is proactive, discreet, and thrives in a fast-paced environment where no two days look the same. The responsibilities and qualifications listed below are representative and are not intended to be an exhaustive list. Additional duties may be assigned as business needs evolve.
Responsibilities
- Manage the CEO's calendar, appointments, travel arrangements, and daily schedule
- Run errands on behalf of the CEO including pickups, procurement runs, and other time-sensitive tasks
- Handle inbound and outbound phone calls professionally (screening, routing, and logging communications)
- Anticipate needs, identify gaps before they become problems, and support the operational flow of the executive team
- Assist department heads with scheduling, document preparation, and administrative coordination
- Draft, proofread, and send correspondence, reports, and memos on behalf of leadership
- Maintain organized filing systems for confidential executive documents
Requirements
- 2+ years of experience in an executive or administrative assistant role
- Tech-savvy (able to adapt to new technology)
- Exceptional verbal and written communication skills
- Professional phone etiquette and experience managing high-volume calls
- Valid driver's license and reliable vehicle are required
- Must be located in Los Angeles
- Must be able to pass a thorough background screening
Preferred Qualifications
- Prior experience supporting C-suite or senior leadership
- Background in law enforcement, military, investigative, or security industries
- Highly organized with strong attention to detail
- Ability to maintain confidentiality and exercise sound judgment
