The Role

We're seeking an organized, tech-savvy Administrative Assistant to keep our operations running smoothly. You'll support executives and client-facing teams with scheduling, documentation, client onboarding, and day-to-day office coordination.

What You'll Do

Calendar & Scheduling: Manage complex calendars, coordinate meetings across time zones, prepare agendas, and arrange travel and logistics.

Client Support: Assist with onboarding tasks (forms, document collection, e-signature), track status in our CRM, and prepare meeting materials.

Documentation & Reporting: Draft and format spreadsheets; maintain accurate digital filing and version control.

Operations Coordination: Monitor and respond to shared inboxes, route inquiries, handle mail/shipping, and liaise with vendors.

Expense & Record Management: Process reimbursements, reconcile receipts, and help maintain orderly records for audits and compliance.

Meeting Execution: Set up conference/Zoom calls, take and distribute notes, and track follow-ups to completion.

Data Entry: Enter/update client and prospect data; run simple reports and exports.

Project Support: Assist with special projects (process documentation, event logistics, light research).

What You'll Bring

1-2 years in an administrative, office coordinator, or executive support role (professional services or financial services a plus).

Proficiency with Microsoft 365 or Google Workspace, Zoom, Slack/Teams, and basic spreadsheet skills.

Experience with e-signature tools (DocuSign/Adobe Sign).

Impeccable organization, attention to detail, and follow-through; able to juggle priorities and meet deadlines.

Professional communication—clear writing, polished client etiquette, and discretion with sensitive information.

Comfort working in a fast-paced, highly collaborative environment.

Nice to Have

Financial services background or interest in learning the industry.
