We are seeking a dependable Administrative Assistant to provide critical clerical and administrative support to our staff. In this role, you will be at the heart of our daily operations, balancing public interaction with essential behind-the-scenes financial and operational tasks.

What You'll Do (Primary Responsibilities)

  • Executive & Clerical Support: Draft professional correspondence, prepare spreadsheets, manage room reservation calendars, and route telecommunications.
  • The Face of the Department: Provide top-tier reception duties by warmly greeting guests and professionally directing phone calls.
  • Financial & Operational Assistance: Support budget preparation, track expenditures, process purchase orders/invoices, and manage daily facility work orders.
  • Team Collaboration: Work closely with the Administrative Specialist and executive team to coordinate special projects and ensure administrative seamlessness.

What You Bring (Knowledge, Skills, and Abilities)

  • The Ultimate Multitasker: Proven ability to handle changing priorities and manage multiple tasks smoothly.
  • Tech Savvy: Strong proficiency with personal computers, database management, spreadsheets, and standard office software.
  • Financial Literacy: Basic knowledge of accounting principles, bookkeeping, and purchasing/bid procedures.
  • Professional Communicator: Exceptional written and oral communication skills, with the ability to interact positively with all levels of staff and the general public.
  • Discretion: A high level of integrity and the ability to maintain absolute confidentiality (payroll, employee records, HIPAA regulations).

Minimum Qualifications

  • Education: High school diploma or equivalent, supplemented by specialized coursework in general office practices (typing, filing, basic accounting).
  • Experience: 1 to 3 years of increasingly responsible related office experience (or an equivalent combination of education and experience).
  • Licensure: Must possess a valid driver's license and be insured to operate a motor vehicle.
  • Physical Capabilities: Ability to sit at a keyboard for extended periods, walk, bend, and occasionally lift up to 50 lbs. (Reasonable accommodations may be made for individuals with disabilities).
