RATE OF PAY: $26.02 - $30.63 per hour, Category D (2025-26 rate)

Terms of employment per the Prior Lake Administrative Assistants Federation Education MN Local #4887 (PLSFAA) collective bargaining agreement.

SUMMARY:

Provides organizational support and clerical assistance within the office of Learning, Achievement, and Innovation to ensure efficient daily operations. Serves as a central department resource to support district-wide educational initiatives and streamlined communication.

ESSENTIAL FUNCTIONS:

This class specification lists the major duties and requirements of the job and is not all-inclusive. Incumbent(s) may be expected to perform job-related duties other than those contained in this document and may be required to have specific job-related knowledge and skills.

  • Manage the daily operations and administrative workflows of the office of Learning, Achievement, and Innovation to ensure a professional and efficient environment.

  • Collect, prepare, and submit complex data for mandated Federal and State reporting.

  • Monitor curriculum, professional development, and testing budgets to ensure alignment with fiscal targets.

  • Coordinate cost proposals, process purchase orders, and maintain records of orders and inventories for district curriculum.

  • Serve as a central district resource person for curriculum inquiries and provide logistical support to staff regarding instructions and directives for district-wide initiatives.

  • Act as the primary contact person, registrar, and record-keeper for home school families within the district.

  • Maintain and regularly update the district curriculum and home school websites.

  • Coordinate comprehensive travel arrangements, conference registrations, transportation, lodging, itineraries, and travel vouchers for district staff.

  • Prepare professional presentations and instructional materials using various software systems.

  • Manage committee rosters, distribute official communications, and serve as the recording secretary for the continuing education committee.

  • Assist in the planning, logistics, and delivery of on-site staff trainings and webinars.

  • Maintain strict confidentiality of all sensitive, private, or proprietary student, staff, and district data in accordance with district policies and legal mandates.

  • Perform other duties and responsibilities as assigned.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience:

  • Bachelor's degree in related field preferred. High school diploma or GED and training and/or experience as a secretary required.

  • Experience with or understanding the importance of confidentiality within the workings of a large complex organization.

Required Certificates, Licenses, and Registrations:

Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

  • Proficiency with software data management, databases, and word processing.

  • Knowledge of applicable data privacy laws and/or experience handling confidential student or organization information.

Required Skills:

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
