EBA Engineering, Inc. (EBA) is actively seeking an Administrative Assistant to support the day-to-day administrative, organizational, and operational needs of our Marketing and Construction Management & Inspection (CMI) groups. The position includes a mix of general administrative support, event coordination, and marketing assistance. YOUR RESPONSIBILITIES:

As an Administrative Assistant at EBA, you will be responsible for a range of tasks, including:

  • Assisting with the development of proposal sections, forms, statements of qualifications, brochures, and presentations.
  • Coordinating conferences, industry events, internal meetings, and employee engagement initiatives.
  • Updating and maintaining employee resumes and project profiles in Deltek Vantagepoint for marketing and proposal use.
  • Tracking and maintaining professional licenses, certifications, training records, and renewals.
  • Coordinating and tracking staff registrations for training programs, certifications, conferences, and professional development opportunities.
  • Supporting CMI new hire onboarding, including scheduling, equipment coordination, and first-day preparation.
  • Assisting with project documentation, submittals, and deliverables.
  • Assisting with timesheet tracking and expense reports.
  • Preparing reports and meeting materials; scheduling meetings; entering and maintaining CRM data, including opportunities and business development activities; and supporting general office functions such as greeting visitors and answering phones.

CORE REQUIREMENTS:

To excel in this role, candidates must possess:

  • An associate's degree in marketing, business administration, communications, or a related field (or equivalent experience).
  • Excellent written and verbal communication skills, with attention to detail in document production.
  • Strong organizational and time management skills with the ability to manage multiple deadlines.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, and PowerPoint).
  • Ability to manage and maintain accurate records.

PREFERRED REQUIREMENTS:

  • 2+ years of administrative, marketing, or proposal coordination experience, preferably in the A/E/C industry.
  • Prior experience supporting project managers, resident engineers, or construction inspection staff.
