Job Title: Administrative Assistant IV (#450)

Reports to:Office Manager/Administrative Supervisor

Level: Entry (This may vary for internal candidates)

Salary: $58,968

Location: Juvenile/1100 S Hamilton

Bureau: Administrative Services

Division/Unit: Juvenile Justice

Primary Function:

Provide administrative support for Assistant State’s Attorneys assigned to the Juvenile Justice Division.

Working Environment: Hours: Monday – Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements:

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities:

  • Receive police reports and case intake documents via email, JTDC, probation screening and suburban police districts
  • Constant communication with upwards of 90 different suburban police districts
  • Enter new cases, case updates, and case disposition information into JUSTICE NEXUS.
  • Prepare various types of subpoenas motions, summons, publications, and other correspondence needed
  • Update new information to cases previously involved in system
  • Navigate and utilize NICE and SharePoint to upload, store, and update document case information
  • Update JUSTICE NEXUS, NICE and SharePoint with inventory information
  • Scan, email, and copy documents
  • Process all closed cases using the latest destruction policy guidelines
  • Act as Lead or Back up for Overnight call when needed
  • Assist with reception relief when needed
  • Responsible for confidential information
  • Perform other duties as assigned

Qualifications:

Required:

  • The candidate must have excellent verbal and written communication skills, excellent organizational skills and the ability to multi-task.
  • Proficiency in Microsoft Word applications required.

Preferred:

  • Knowledge of Nice, Share Point, Clerks and computer skills.
  • Typing speed of 50+wpm.
