The Department of Economics and Business at Colorado School of Mines is seeking a highly organized, service-driven Administrative Assistant III who thrives in a dynamic environment and who enjoys putting their hands and feet to work making events happen and keeping department operations moving forward.

This is not a desk-only administrative role. You'll play a central part in delivering impactful events-from concept to cleanup-serving as the logistical engine behind everything from executive visits and symposia to student programs and celebratory events. Your role is essential in delivering high-level operations support to faculty and students whether that's granting access to the building for students to study, maintaining email distribution lists so students receive appropriate and timely information, or proactively working with faculty to submit expense reports, you keep the wheels turning and moving the department forward!

What You'll Do

Event Planning & Hands-On Execution (35%)

You'll own the full lifecycle of department events, with a strong emphasis on execution and physical coordination:

  • Plan and coordinate events including lectures, recruiting events, advisory board meetings, symposia, and student programs
  • Actively set up and break down event spaces, including arranging tables, seating, signage, and materials
  • Coordinate and move event supplies, materials, and equipment as needed
  • Oversee on-site logistics, troubleshoot issues in real time, and ensure seamless execution
  • Partner with vendors and catering, manage deliveries, and ensure everything is in place before start time
  • Coordinate volunteers/student workers during events and direct activities on-site
  • Support guest speakers with travel, itineraries, and hospitality coordination

This role requires frequent movement, standing, lifting, and active engagement during events.

Office & Operational Coordination (55%)

  • Serve as the front-facing hub for the department, supporting faculty, students, and visitors
  • Manage scheduling, communications, purchasing, and travel logistics
  • Coordinate conference room scheduling and shared spaces
  • Maintain office operations, supplies, and records
  • Support faculty searches and department initiatives

MINIMUM QUALIFICATIONS:

Experience Only:

  • Three (3) years of relevant experience which included administrative work, front desk reception, records management, and event management. (Experience must be clearly documented in the "Work History" section of your application. "See Resume" will not be accepted.)

OR

Education and Experience:

  • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years. (TRANSCRIPTS MUST BE ATTACHED FOR EDUCATIONAL CREDIT.)

PREFERRED QUALIFICAITONS:

  • Proficiency with spreadsheet and word processing software (i.e. Word and Excel).

  • Daily interaction with students, staff and faculty require this position to possess strong interpersonal and customer service skills and the ability to establish rapport with people of diverse backgrounds.

  • Must have excellent organizational skills with the ability to prioritize tasks, make decisions independently and provide on-the-spot answers to administrative questions that arise.

  • Must have excellent judgment and discretion and be able to work confidentially with sensitive and protected information.

This role will provide event management for a variety of events and will be responsible for coordinating and executing those events around campus from start to finish. Please describe your event management experience, particularly in a campus or community setting if applicable.
