    Clearance Requirements: National Background Check with Inquiries, Fingerprints, and Drug Screen.

    Estimated Period of Performance: The period of performance is for one (1) year upon award of this task order contract, plus 1 (1) option year.

    Type of Employment: In-person, 40 hours per week.

    Estimated Total Compensation: $39.22/hour

    Paid Time Off: Up to 80 hours per year, which starts accruing on the day of hire.

    Sick Leave per Year: Up to 56 hours per year, which starts accruing on the day of hire.

    Paid Federal Holidays: Eleven (11) Paid Federal Holidays

    Working Hours
    The Administrative Assistant II will typically work Monday through Friday, 8:30 am - 5:00 pm or 9:00 am – 5:30 pm, no more than 40 hours per week.

    Qualifications

    • Must have a high school diploma or GED equivalent, and four (2) years of related work experience performing administrative work.
    • Knowledge of file management concepts to establish and maintain physical and electronic records, and to research and address questions and assist staff.
    • Strong organizational, analytical, internet research, and communication skills.
    • Proficiency in Microsoft Office and advanced knowledge of administrative procedures and NIH systems.

    Summary of Duties

    The Administrative Assistant II will provide advanced administrative support to multiple staff members by coordinating office operations, preparing correspondence, managing records, and maintaining administrative systems. Performs a variety of office functions requiring strong organizational skills, attention to detail, and proficiency with office software.

    Attire

    The Administrative Assistant II is expected to wear approved professional clothing appropriate to the environment while on duty as requested. Footwear will be closed-toe, flat-bottom, and completely cover the feet.

    Duties and Responsibilities

    • Receive and respond to telephone calls, emails, and visitor inquiries.
    • Provide administrative support to multiple staff members and manage competing priorities.
    • Prepare, edit, and format correspondence, reports, memorandums, and other office documents.
    • Create and maintain spreadsheets, databases, and electronic records.
    • Conduct internet research and compile information for staff as requested.
    • Review and distribute memorandums, policies, standard operating procedures, and other office communications.
    • Maintain document control and route correspondence for review and approval.
    • Prepare purchase requests for office supplies and other small purchases.
    • Coordinate employee travel arrangements and enter travel information into NIH travel systems.
    • Track office equipment requirements, including computers, monitors, printers, and related resources.
    • Prepare and process employee training requests and maintain training records.
    • Compile reports, matrices, and other administrative tracking documents to support office operations.
