Administrative Assistant II

PAY: $25/HR.

Job Title: Administrative Assistant

Full Time (40 hours/week); M-F 8am-5pm

Location: Onsite - Jurupa Valley, CA

Dutites and Responsibilities:

  • Professionally represent the organization to all internal and external stakeholders.
  • Maintain a favorable working relationship with all company employees to foster and promote a cooperative and harmonious working environment.
  • Proactively manage requests and schedules to appropriately accommodate and prioritize meetings, conference calls and interviews.
  • Support with miscellaneous site procurement needs, including managing of water deliveries, janitorial services, tool orders, and utilities accounts
  • Support setup of new vendors into LYB systems to allow for usage for onsite work
  • Site documentation setup, supporting document conversion and routing for approval
  • Monthly cost reporting tracking
  • Able to work independently and to initiate administrative improvements; needs limited guidance from supervisor.
  • Well-honed organizational skillsmanage workflow & projects effectively and timely.
  • Able to manage & prioritize multiple projects at the same time.

Required Skills & Qualifications

  • Minimum 2 years of administrative, office coordination, or site support experience, preferably within manufacturing, industrial, logistics, recycling, or similar environments.
  • Strong organizational skills with the ability to prioritize competing tasks and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Strong written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.
  • Demonstrated ability to work independently, exercise sound judgment, and identify process improvement opportunities.
  • Experience maintaining records, documentation, and routing materials for review and approval.

Desired Skills & Qualifications

  • Experience with vendor onboarding, purchase requisitions, purchase orders, or ERP systems (SAP preferred).
  • Knowledge of document control processes and records management.
  • Experience preparing reports, tracking budgets, and monitoring departmental expenses.
  • Ability to coordinate multiple projects simultaneously while maintaining a high level of accuracy and attention to detail.
  • Associate's degree in Business Administration or a related field
