EDUCATION AND EXPERIENCE:

High School Diploma or Equivalent

Two years related experience and/or training; or equivalent combination of education and experience

Spanish speaker preferred

OTHER INFORMATION:

Notary Public Commission or be eligible for a Notary Public Commission

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.

PRIMARY PURPOSE SUMMARY:

Performs clerical and administrative support duties for Hearing Officer and other personnel within the department. Facilitates the efficient operation of Pupil Personnel Services.

ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:

  1. Arranges conferences with parents for discipline, transfers, enrollments, and guardianships.

  2. Accepts discipline reports and maintains records and files.

  3. Assists Attendance Officers with correspondence, letters, files, etc.

  4. Assists with power of attorney, continued enrollment, advanced enrollment and grandparent affidavits.

  5. Assists with and maintains databases of identified records.

  6. Communicates with parents on a variety of topics concerning the District, individual schools, procedures, policies and practices.

  7. Serves a Notary Clerk.

  8. Answers telephones, takes messages and greets patrons.

  9. Purges identified files, stores, and organizes student files kept for audit purposes at the end of each school year.

  10. Assists in orientation of new staff.

  11. Maintains confidentiality of information.

  12. Reports to work on time every day.

  13. Performs additional duties and responsibilities as may be assigned.

QUALIFICATION REQUIREMENTS:

  • Knowledge of modern office practices, procedures, equipment/technology and clerical techniques
  • Strong interpersonal and telephone skills
  • Ability to communicate clearly and effectively, both verbally and in writing
  • Ability to organize and prioritize work with attention to detail
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

WORK ENVIRONMENT:

The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
