Job Vacancy Details

Under direct supervision, the Administrative Assistant performs clerical, data entry and general office functions in support of the High School Program department. This position is responsible for greeting visitors, answering all phone lines, and responding accordingly, taking and delivering detailed messages, providing customer service, typing and/or processing documentation, gathering information, maintaining calendars for department staff, data entry of information as needed, verification of student information, maintaining files/records, and performing other tasks related to activities of the department. This position must be prepared for very busy peak times throughout the semester.

This is a part-time position, up to 29 hours per week

What Youll Do

  • Prepares and maintains student files for CCP students.
  • Works with Director of High School Programs and CCP staff to provide orientation for CCP students.
  • Serves as front desk personnel to greet visitors and provide customer service while in the office.
  • Answers all phone lines and directs to appropriate staff or takes detailed messages if staff unavailable.
  • Maintains confidentiality of departmental documentation and issues. Provides administrative assistance or backup coverage to other employees or departments as needed.
  • Assists with various projects such as mailing/emailing student schedules; verifying and updating student addresses and personal information (SSN, DOB); checking mail and delivery to appropriate staff daily; and other duties as needed.
  • Assists in coordinating or conducting special projects and activities such as the Career Expo, PCS Construction Days, information tables and other events.
  • Maintains a complex filing system for the department.
  • Coordinates arrangements for various meetings, which may include preparing agendas and meeting packets, coordinating room/equipment setup, coordinating food/refreshments, attending meetings, recording/transcribing meeting minutes, distributing documentation, maintaining records, or other tasks as necessary.
  • Assists in gathering, organizing, and/or processing information, or documentation; prepares, assembles, and/or distributes information packets as requested.
  • Monitors inventory of office equipment, forms and supplies; ensures availability of adequate materials to conduct work activities and notifies Director of needs.
  • Operates and maintains a variety of standard office machines and equipment including multi-line phone system, scanner, computer, etc.
  • Performs other duties as required.

What We Are Looking For

  • Associate degree in related field

  • Previous experience in a clerical role

OR an equivalent combination of training, education and experience may be considered.
