We are seeking a highly organized, detail-oriented, and experienced Permanent Administrative Assistant to join our fast-paced manufacturing team. The ideal candidate will have extensive experience in managing administrative tasks, coordinating meetings, taking minutes, filing, and scanning. This role requires a minimum of 5+ years of experience in a similar role, supporting upper level management staff and ownership. If you have a knack for maintaining order, juggling multiple tasks, and thrive in a bustling environment, we would love to hear from you!

Responsibilities:

1. Coordinate and schedule meetings, appointments, and conferences for the management team.
2. Accurately record and distribute minutes from meetings, ensuring all action items are noted and followed up on.
3. Maintain a well-organized filing system that permits easy reference and rapid retrieval of information.
4. Carry out administrative duties such as filing, typing, copying, scanning, etc.
5. Ensure the smooth operation of office equipment, requisitioning for new equipment, services, and repairs as necessary.
6. Assist in the preparation of regularly scheduled reports.
7. Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
8. Maintain stock lists and orders office supplies as needed.
9. Be the point of contact for a range of staff and external stakeholders.
10. Perform other related duties as assigned.

Qualifications:

1. Minimum of 5+ years of experience as an Administrative Assistant, or similar role.
2. Proven experience in minute taking, filing, and scanning is required.
3. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
4. Excellent time management skills and the ability to prioritize work.
5. Attention to detail and problem-solving skills.
6. Excellent written and verbal communication skills.
7. Strong organizational skills with the ability to multitask.
8. High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
9. Knowledge of office management systems and procedures.
10. Ability to work under pressure and meet deadlines.
11. Ability to maintain a high level of accuracy in preparing and entering information.
12. Experience in the manufacturing industry is highly desirable.
