Job Title: Administrative Coordinator
Role Overview
We are seeking a detail-oriented and service-driven Administrative Coordinator to provide operational support to our leadership team. You will be the primary point of contact for internal and external inquiries and will play a critical role in the planning and execution of our organizational initiatives and company events.
This is a "hands-on" role for an individual who thrives in a fast-paced environment. You won't just be managing a calendar; you will be helping to coordinate the projects and events that keep our teams engaged. Key Responsibilities
Administrative & Operational Support
• Inquiry Management: Act as the first point of contact for the department. Monitor shared mailboxes and phone lines, responding to requests quickly and professionally.
• Documentation & Reporting: Prepare routine and complex reports, ensuring all data is accurate and formatted correctly. Manage project documentation, spreadsheets, and presentations as needed.
• Project Oversight: Oversee administrative projects from start to finish. Take initiative to identify and resolve bottlenecks, ensuring projects stay on track.
Event Execution & Facilitation
• Event Planning: Assist in the logistics, planning, and execution of company events and initiatives. Coordinate with cross-functional departments to ensure all event details are covered.
• On-Site Coordination: Be "hands-on" during events. Troubleshoot issues as they arise, provide support to guests and staff, and ensure successful execution from setup to breakdown.
• Cross-Functional Collaboration: Interface with a variety of internal and external partners to gather information and ensure seamless communication throughout project/event planning.
Qualifications & Requirements
Minimum Qualifications
• Experience Baseline: Minimum of 1-2+ years of administrative experience in a corporate or professional office environment.
• Technical Mastery: High proficiency in Microsoft Office (Word, Excel, PowerPoint).
• Communication: Exceptional phone manner and solid written/verbal communication skills; must be customer-service oriented.
• Organizational Skills: Proven ability to multitask and maintain high attention to detail in a busy, changing environment.
Preferred Attributes
• A "can-do" attitude-someone who is willing to learn, takes direction well, and is a true team player.
• Experience in event coordination or project management support.
• Flexibility to handle occasional high-priority requests that may fall outside of standard administrative tasks.
