Position Description

The Administrative Assistant for the Office of Faith & Practice (OFP) provides comprehensive administrative, operational, and clerical support to the OFP staff. Reporting directly to the University Chaplain, this role ensures the smooth daily functioning of the office while fostering a welcoming, inclusive, and supportive environment for students, faculty, staff, and community members.

Position Responsibilities

Administrative & Operations Support

? Front-Facing Operations: Serve as the primary point of contact for general inquiries; manage the OFP email inbox and phone lines with excellent customer service.

? Financial Administration: Process financial paperwork, including invoices, expense reimbursements, and operational transactions; track and assist in monitoring the overall OFP budget.

? Logistics & Inventory: Order and maintain inventory for office supplies, marketing materials, and event resources.

? Fleet Management: Coordinate scheduling, routine maintenance requests, and key management for vehicles designated to the Office of Faith &.

? Cross-Departmental Collaboration: Support staff in the OFP and assist with general administrative tasks for the broader Student Development Office and staff as time and capacity permit.

? Student Engagement: Provide administrative and logistical support to the Student Chaplain Program, student ministries, immersion experiences, and the Chamberlain Interfaith Fellowship Program.

Event Coordination

? Event Planning & Execution: Assist in planning, coordinating, and executing all OFP events, including weekly campus Chapel services and workshops.

? Logistics Management: Manage comprehensive event logistics, including venue reservations, catering coordination, AV/technology setups, and promotional material distribution.

? Evaluation: Support post-event evaluations and data collection to assess program effectiveness and engagement.

Marketing, Outreach, & Publications

? Content Creation: Assist in developing promotional content for social media, newsletters, and campus-wide communications to increase awareness of OFP programming.

? Digital Maintenance: Update and maintain the official OFP website and campus event calendar.

? Print & Media: Produce, edit, and supervise the distribution of physical and digital publications, including brochures, flyers, signs, and bulletin boards.

Qualifications

? Education: Bachelor's degree or equivalent professional experience in event management, business administration, higher education, or a related field.

? Experience: 1-3 years of experience in event coordination, administrative support, or a related operational role.

? Communication: Excellent written and verbal communication skills; ability to build meaningful professional relationships with students, faculty, staff, and administration.

? Organizational Skills: Exceptionally organized with a proven ability to manage multiple tasks and competing priorities simultaneously.

? Technical Proficiency: Proficient with Google Suite, Microsoft Office Suite, and Canva; willingness and adaptability to learn new institutional software.

? Design & Media: Basic graphic design skills and familiarity with social media content creation and website maintenance are highly desired.

? Discretion: Demonstrated capability to handle sensitive and confidential matters with the utmost discretion.

3) Pennsylvania Department of Human Services Child Abuse History Clearance and;

4) Pennsylvania State Police Criminal Record Check.

In accordance with state laws, Act 73 of 2007, Act 153 of 2014, Act 168 (relating to the Child Protective Services Law), school employees of Eastern University who will have "direct contact with children" must complete the background check process prior to employment. Results must be submitted within ten days of receipt.

Part-time Regular staff who are scheduled 30-36 hours per week over the course of a year, receive a full benefit package based on their part-time scheduled hours. Healthcare coverage is based on the ACA medical coverage guidelines. Affiliate faculty receive a benefit package as outlined with their covenant. Adjunct faculty may be eligible for medical coverage under the ACA after an annual one year lookback review.

Part-time staff who are scheduled to work less than 30 hours per week schedule are eligible for employer contribution towards the retirement plan after one year of employment. Eligibility rules apply. Adjunct faculty may make employee deferral contributions towards the retirement plan.

Part-Time Graduate Assistant Coaches are eligible for participation in the Tuition Remission Coaches Program.

Temporary, Contractors and Seasonal Employees: Individuals in this status are scheduled on an as-needed-basis and are not eligible for participation in the University's benefits programs.
