Job Title: Executive Assistant – C-Suite Support
Location: East Hanover, NJ | Pay: 30/hr
Position Summary:
We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to a senior C-suite executive. The ideal candidate will be responsible for managing complex calendars, coordinating meetings, handling travel arrangements, and ensuring seamless day-to-day administrative support in a fast-paced global environment.
Key Responsibilities:
- Manage and coordinate the executive's calendar, meetings, and appointments across multiple time zones.
- Schedule and organize internal and external meetings, including leadership and stakeholder meetings.
- Coordinate travel arrangements, including flights, accommodations, visas, and itineraries.
- Prepare meeting agendas, presentations, and other administrative documents as needed.
- Manage communication and correspondence on behalf of the executive.
- Coordinate with internal and external stakeholders to ensure timely follow-ups and action items.
- Support event planning, leadership meetings, and executive visits.
- Maintain confidentiality while handling sensitive business information.
- Assist with expense reports, invoice processing, and other administrative tasks.
Required Qualifications:
- Proven experience supporting senior executives or C-suite leaders.
- Excellent verbal and written communication skills in English.
- Strong calendar management and scheduling experience.
- Experience coordinating international travel and executive meetings.
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools such as Teams.
- Exceptional organizational skills with strong attention to detail.
- Ability to manage multiple priorities and work independently in a fast-paced environment.
Preferred Qualifications:
- Fluency in Spanish (preferred) or other foreign languages.
- Experience supporting global executives and working across multiple regions and time zones.
- Experience in multinational or corporate environments.
