Job Summary:
We are seeking a detail-oriented, organized, and proactive Administrative Assistant to support our team with a wide range of administrative and clerical tasks. The ideal candidate will play a key role in ensuring smooth daily operations by managing communications, schedules, documentation, and general office procedures.
Key Responsibilities:
Answer and direct phone calls and emails in a professional manner
Schedule meetings, appointments, and manage calendars for executives or departments
Maintain and organize files, records, and documents (physical and digital)
Prepare reports, presentations, and correspondence
Handle travel arrangements, itineraries, and expense reports
Order and maintain office supplies and equipment
Assist in the preparation of regularly scheduled reports
Coordinate with other departments to ensure office operations run smoothly
Support onboarding of new employees by preparing materials and workspace
Perform general office duties such as photocopying, scanning, and mailing
Maintain confidentiality of sensitive information
Take meeting minutes and distribute them as necessary
Qualifications:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
Proven experience as an administrative assistant, office assistant, or similar role
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Strong organizational and time-management skills
Ability to multitask and prioritize tasks effectively
Attention to detail and problem-solving skills
Discretion with confidential information
Preferred Skills:
Experience with office management systems or CRM tools
Familiarity with remote meeting platforms (Zoom, Teams, etc.)
Bilingual abilities (if relevant to the workplace)
