Job Summary:
The Administrative Assistant will provide comprehensive administrative and clerical support to a department or team. This role involves coordinating meetings, managing supply orders, supporting payroll activities for eligible staff, and maintaining accurate overtime reports. While administrative coordination is a key focus, a substantial portion of the role includes essential clerical duties. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Provide general administrative and clerical support to departmental staff and leadership.

  • Coordinate meetings, prepare agendas, and assist with logistics and scheduling.

  • Handle incoming phone calls, emails, and other forms of communication professionally and efficiently.

  • Manage routine clerical tasks such as filing, photocopying, sorting mail, and data entry.

  • Order office supplies and equipment; track inventory and manage vendor relationships.

  • Assist with basic payroll functions, including processing overtime for eligible employees and generating overtime reports.

  • Support preparation of various reports and documents as needed.

  • Ensure smooth daily operations of the office environment.

Required Skills & Qualifications:
