Bloomington Public Schools is seeking an experienced administrative professional in the Community Relations office.

The Cabinet Administrative Assistant - Community Relations provides administrative support to the Executive Director of Community Relations and Emergency Management, the Community Relations and Volunteer Connection teams, and Executive Assistant to Superintendent and School Board.

Required Skills and Competencies:

  • Proficient in Google Workspace tools, including Gmail, Chat, Meet, Calendar; Drive for storage; Docs, Sheets, Slides, Forms, and Sites for collaboration; and Microsoft Office (Word, Excel, PowerPoint)

Education and Experience:

  • High school education or GED
  • Five to seven years administrative assistant experience, preferably in an educational setting, or an equivalent combination of education and experience

Responsibilities:

  • Provides administrative assistance to the Offices of Community Relations, Emergency Management and Volunteer Connection.
  • Primary tasks include budget and ordering, district calendar, maintaining confidential files, sensitive information, emergency operations plans, drills, training, contact lists, and state statutory documentation; and communication distribution lists.
  • Maintain general office organization, clerical and budget management and reporting, purchase orders, and printed communication and correspondence; schedule meetings; maintain files; order equipment and supplies; maintain copier/printers;
  • Assist with maintaining lists and helping with mailings (electronic and USPS).
  • Support the planning, logistics and materials for district calendar, special events and celebrations.
  • Organize and maintain current and historical digital files; maintain district Google calendar of monthly events.
  • Assist in preparing resolutions, policies, and supporting material for school board agenda items.
  • Manage Volunteer Connection applications, background checks & budget; monitor and maintain volunteer programming tasks; assist school staff and volunteers with applications, background checks, updates; support Volunteer Experiences Coordinator; support program grants including reporting and accountability.
  • Other duties as assigned.
