Job Summary and Qualifications
The Admin Assistant Simulation will manage a range of administrative support tasks as they relate to the daily operational needs of the simulation center while consistently displaying an upbeat, accommodating attitude and solid work ethic. This position is the face of the center and the entry point to all colleagues across the multiple lines of business and facility support matrix.
In this role you will:
- Always available to pleasantly greet guests, in person or on the telephone, promptly, courteously and professionally
- Skillfully operating a multi-line telephone system, managing daily calls, voicemail messages and out of office greetings as needed
- Directing all internal and external inquiries, in person or on the telephone, to appropriate team members
- Coordinating front desk back-up support coverage, training front desk back-up support colleagues as needed and maintaining a shared calendar detailing front desk coverage activity
- Working cooperatively with all division-wide departments and/or colleagues
- Communicates timely and escalates unresolved issues to supervisor or appropriate person(s)
- Exhibiting initiative, sound judgment and the ability to make reasonable decisions in the absence of direction when handling travel arrangements, scheduling, expense reporting and conference room reservations
- Managing data entry and documents through indexing, filing, making copies, scanning, faxing, compiling reports from existing information and records, composing and proofreading correspondence
- Delivering accurate, thorough and detailed updates to all division directories on a monthly basis
- Ordering, receiving, distributing and restocking office supplies weekly
- Managing all catering requests for meetings held at simulation center and smaller lunch orders as requested by supervisor
- Assisting with all aspects of the successful execution of simulation center meetings and events, such as office nurse residency cohorts, division meetings, simulation events and other events as requested
- Monitoring janitorial and building maintenance needs for the center; entering maintenance tickets in property management database as needed or requested for facility/building issues
- Retrieving incoming USPS mail, receiving other mail and packages from UPS, Fed-Ex, other internal and external courier services
Education & Experience:
- High School Diploma (GED) Required
- Associate Degree (2 yr. program) Preferred
- 2 Years of experience in a healthcare setting Preferred or equivalent combination of education and/or experience
Licenses, Certifications, & Training:
- Trained on how to use Outlook, Word, Excel and Adobe Pro at an intermediate level Required
- Prior use of systems: Visio, PowerPoint, Concur, SharePoint and Kronos Preferred
